Description
The Recruiting Coordinator is responsible for all recruiting functions at HealthyU, including full-cycle recruitment and building scalable talent pipelines, enforcing process discipline, and delivering measurable hiring outcomes.
This role coordinates the strategy and execution of recruiting operations, ensuring strong candidate flow, reduced time-to-hire, improved offer acceptance rates, and cost-effective hiring practices. The successful candidate will partner closely with hiring managers and Human Capital team members to drive accountability, enhance interviewing effectiveness, and continuously improve recruiting performance through data, process optimization, and proactive talent engagement. Key responsibilities include:
- Full-Cycle Recruitment & Delivery: Coordinate and execute end-to-end recruitment for all roles, including requisition intake, sourcing, screening, interviewing, offer management, background checks, E-Verify, and onboarding/orientation. Ensure all requisitions are actively managed with clear timelines, strong candidate communication, and high-quality, timely hiring outcomes.
- Pipeline Strategy & Talent Development: Build and maintain proactive, high-quality talent pipelines across critical roles and markets by leveraging diverse sourcing channels (LinkedIn, Indeed, healthcare job boards, referrals, networking). Adhere to strategies that reduce reliance on reactive recruiting, improve speed-to-fill, and increase conversion rates. Attend and coordinate career events, hiring fairs, and industry engagements while maintaining evergreen pipelines for high-volume and hard-to-fill roles.
- Process Compliance: Serve as the internal responsible party for recruiting by establishing, documenting, and enforcing standardized workflows, SLAs, and interview practices. Continuously evaluate and improve recruiting processes, tools, and systems to drive efficiency, scalability, and consistency, while ensuring strict adherence to ATS/HRIS processes (UKG Ready preferred) and data integrity standards.
- Hiring Manager Partnership & Interview Excellence: Build strong, credible relationships with hiring managers and act as a strategic partner in workforce planning and role scoping. Assist managers on effective interviewing, candidate evaluation, and decision-making while standardizing interview processes, scorecards, and feedback loops to ensure consistency, equity, and quality of hire.
- Vendor Management & Cost Optimization: Coordinate and optimize relationships with external staffing agencies, job boards, and recruiting vendors. Evaluate performance based on quality, speed, and cost efficiency, and implement strategies that reduce overall cost per hire while maintaining high standards.
- Onboarding & Candidate Experience: Collaborate with onboarding processes and facilitate company-wide orientation to ensure a seamless, consistent, and compliant new hire experience. Act as the escalation point for onboarding challenges and continuously improve the candidate-to-employee transition experience.
- Compliance, M&A Support & Risk Management: Ensure all recruiting and onboarding practices comply with federal, state, and local laws while maintaining audit-ready documentation. Support mergers and acquisitions through scalable recruiting efforts, integration hiring, and workforce transition planning.
- Culture, Accountability & Performance: Act as a cultural ambassador throughout the candidate lifecycle while promoting a high-performance, accountable recruiting function. Lead by example in professionalism, responsiveness, and execution, driving continuous improvement in outcomes, speed, and quality.
Requirements
- Highschool Diploma required
- 3+ years of full-cycle recruiting experience,
- Proven experience building talent pipelines and improving recruiting performance metrics
- Strong experience with process development, KPI tracking, and operational accountability
- Experience in healthcare or other highly regulated environments strongly preferred
- Hands-on experience with ATS/HRIS systems (UKG Ready strongly preferred)
- Experience supporting recruiting in mergers and acquisitions environments is a plus
- Strong stakeholder management, coaching, and communication skills
- Ability to operate in a fast-paced, high-growth environment with a focus on results and continuous improvement
Incentive: Up to 10% of Annual Base Salary
Time to Fill
- Non-Provider Roles:
Target: = 21 days average from requisition approval to signed offer - Provider Roles (supporting coordination):
Target: = 60 days average from requisition approval to signed offer
Candidate Pipeline Management
- Provider Requisitions:
Maintain an average of = 3 qualified, active candidates per open requisition - Non-Provider Requisitions:
Maintain an average of = 5 qualified, active candidates per open requisition
Offer Acceptance Rate (by Original Deadline)
- Non-Provider Roles:
Target: = 90% acceptance rate - Provider Roles (coordination support):
Target: = 85% acceptance rate
Recruitment Process Compliance
- 100% adherence to HealthyU recruitment policies, workflows, and documentation standards
- 100% accuracy and completeness within ATS (candidate records, interview notes, dispositions)
- 100% accuracy of Employment Agreements (EA) for provider offers (as applicable to role support)
Phone Screening Productivity
- Target: = 8–12 phone screens per day (based on requisition volume)
Phone Screen Conversion Rate
- Target: = 70% of phone-screened candidates advance to hiring manager review
Hiring Manager Feedback Compliance
- Ensure feedback is collected and documented within = 2 business days of interview
- Target: = 95% compliance rate
Onboarding & Orientation Coordination
- 100% compliance with onboarding policies, documentation, and system processing
- 100% adherence to scheduled orientation timelines and readiness requirements
Bonus Payout Structure
- 100% of KPIs achieved: 100% payout
- 80% – 99% achieved: 50% payout
- Below 80%: No payout
