The Certified Medical Assistant III (CMA III) is responsible for performing both clinical and front office duties, while also supporting advanced operational functions including inventory management, compliance coordination, staff training, travel support, and additional administrative responsibilities to ensure efficient clinic operations.
The CMA III is a self-sufficient, proactive, and solutions-oriented professional who thrives in a fast-paced healthcare environment. This role requires strong problem-solving skills, the ability to anticipate operational needs, and a commitment to delivering a high standard of patient care while supporting the overall success of daily clinic operations. Key responsibilities include:
- Perform routine medical tasks such as taking vital signs, administering injections, preparing patients for exams, and assisting with minor procedures.
- Collect and accurately document patient history and vitals in the Electronic Health Record (EHR).
- Provide patient education, post-visit instructions, and exceptional customer service to patients and visitors.
- Prepare and sanitize exam rooms, maintaining a clean and safe environment in accordance with safety and infection control protocols.
- Rooming both physical and telemedicine patients
- Navigate interactions with upset or dissatisfied patients professionally and empathetically as needed, escalating to the proper leadership when appropriate.
- Support front-office functions including patient scheduling, registration, insurance verification, and referrals as needed.
- Efficient copay and balance collection skills, aligning with HealthyU guidelines
- Maintain accurate patient records and ensure timely updates in the EHR system.
- Assist with chart preparation, documentation, and coordination with billing and front-desk teams.
- Place IT tickets and coordinate with internal departments as necessary.
- Monitor and maintain medical and office supply inventory levels, ordering and tracking supplies to ensure adequate stock.
- Monitor and maintain POC logs
- Ensure clinic compliance with OSHA, HIPAA, and HealthyU policies.
- Assist with audits, documentation, and adherence to all regulatory and safety standards.
- Identify and report compliance concerns to Supervisor
- Assist Supervisors in onboarding new Medical Assistants, supporting understanding of clinic protocols, procedures, Practice Management and EHR systems.
- Support consistency in workflows by reinforcing established HealthyU processes and best practices. Act as a liaison between clinical staff and administrative teams to ensure smooth communication and operational efficiency.
- Participate in clinic-related meetings or process-improvement activities as requested by management to contribute operational insight.
- Awareness of all HealthyU Clinics service lines and willingness to comply with HealthyU specialties policies and procedures.
- Efficient Value Base Care knowledge and skills
- All other duties as assigned
Requirements
- Medical Assistant Certification required
- A minimum of 5 years’ experience as a medical assistant
- Proficient phlebotomy skills
- Proficient Front Office skills
- Current BLS (Basic Life Support) certification required.
- Strong computer proficiency (Microsoft Office, EHR systems)
- Athena Experience highly preferred
- Excellent communication and organizational skills
- Ability to work in a fast-paced, team-oriented environment
- Prolonged standing, bending, and occasional lifting (up to 25 lbs)
- Reliable transportation is required for all positions, as occasional travel to other clinic locations may be necessary
