Term: Temporary, Part-time (up to 20 hours per week)

Reports to: Director, People & Culture

Hiring Range: $27.05-$40.50 per hour

Location: We are a pan-Canadian healthcare organization and welcome candidates from across Canada. Our head office is located in Ottawa, Ontario and we welcome flexible work options such as permanent/fully remote, hybrid, flexible work hours, and compressed work weeks.

The People & Culture Administrator is responsible for providing administrative assistance to the People & Culture Team. Areas of responsibility include, but are not limited to, recruitment, orientation and onboarding, HRIS and employee records management, metrics reporting, policy research, invoice management, and general administrative support for People & Culture processes. This role requires strong alignment with the values of HEC’s People & Culture function, with a commitment to delivering services that are timely, accurate, and rooted in a people-centric approach.


Your core responsibilities include:

  • Facilitates both internal and external recruitment efforts, including creating and updating job ads, coordinating the translation of job descriptions and ads, posting vacancies, scheduling and participating in recruitment strategy meetings, screening applications, arranging interviews, preparing interview materials, conducting reference checks, and administering background checks.
  • Ensures timely and consistent communications with candidates to ensure a positive candidate experience throughout the recruitment process.
  • Delivers employee orientation to new staff, and coordinates with internal departments to ensure accurate information is represented in the onboarding modules on HEC’s Online Learning Platform.
  • Supports the maintenance of the Human Resources Information System (HRIS) and employee files.
  • Participates in the development and implementation of various People & Culture programs, policies, and procedures.
  • Processes invoices for People & Culture transactions and prepares credit card reconciliations, as needed.


Education and experience you will need to have:

  • Bachelor’s degree or Diploma in Human Resources or a related discipline, or equivalent knowledge and expertise is required.
  • Minimum of two (2) years human resources experience required, preferably with a focus in talent acquisition and/or in a not-for-profit (NFP) organization.
  • Bilingual in French and English is preferred (English communication skills at Advanced “C” level required).
  • Advanced computer software skills in Microsoft Office suite and virtual environment are required.
  • Previous experience with HRIS software (i.e. BambooHR) is preferred.
