The Role
We believe the employee experience begins the moment a candidate says “yes.” The Onboarding Specialist plays a critical role in delivering a welcoming, organized, and engaging transition for new team members. This role serves as the primary point of contact for new hires from offer acceptance through their first 30 days, ensuring a seamless and positive onboarding experience that reflects our culture and values. The Onboarding Specialist partners closely with the HRBP, Practice Managers, and cross-functional teams to coordinate onboarding activities, support new hires, and continuously improve onboarding processes.
Requirements
What You’ll Do
New Hire Experience
- Serve as the primary contact for new hires from offer acceptance through their first 30 days
- Build strong relationships with new hires to ensure they feel welcomed, supported, and connected
- Provide timely communication, guidance, and support throughout the onboarding journe
Onboarding Coordination
- Guide new hires through completion of onboarding checklists and required documentation
- Coordinate onboarding schedules in partnership with Practice Managers and relevant stakeholders
- Ensure all systems access, tools, and resources are prepared prior to start date
- Monitor onboarding progress and proactively address gaps or delays
Training & Integration Support
- Collaborate with Practice Managers to organize and communicate training schedules
- Ensure alignment between onboarding activities and role-specific training plans
- Support new hires in navigating their first weeks, including introductions, expectations, and resources
Process Improvement
- Evaluate onboarding effectiveness through feedback, data, and observation
- Identify opportunities to improve efficiency, engagement, and outcomes
- Partner with Human Resource team to implement enhancements to onboarding programs
Cross-Functional Collaboration
- Work closely with Human Resources, IT, Operations, and Practice Managers to ensure a cohesive onboarding experience
- Maintain clear communication across teams regarding onboarding timelines and needs
What You’ll Bring
- Bachelor degree or equivalent experience preferred
- 2+ years of experience in onboarding, HR, employee experience, or a related field
- Strong organizational and project coordination skills
- Excellent interpersonal and communication skills
- Ability to manage multiple priorities with attention to detail
- Passion for creating positive employee experiences
