1. Role Objective
To lead and own end-to-end execution across all projects, ensuring delivery aligns with committed timelines, defined quality benchmarks, and cost discipline.
The role acts as the single point of accountability for on-site execution outcomes, driving seamless coordination between design, procurement, and site teams while ensuring a high standard of client experience.
2. Organizational Structure & Reporting
- Reports directly to the Studio Head and Founder
- Works in close alignment with the COO (financial governance) and Studio Head (design alignment)
- Leads EPAs, site supervisors, and execution teams
- Procurement function remains aligned with the COO
3. Scope of Responsibility
- Ownership of project timelines and execution schedules
- End-to-end site coordination and vendor management
- Quality control, audits, and snag-free delivery
- Cost discipline within approved budgets
- Client interaction and relationship management during execution
- Material planning, tracking, and wastage control
4. Financial Governance & Decision Flexibility
- Budget approvals and financial control rest with the COO
- The Execution Head holds decision-making flexibility on vendor selection, work allocation, and commercial prioritization within approved budgets
- Responsible for validating site billing against actual work progress
- Proactively flags any cost escalations or financial risks
5. Key Result Areas (KRAs)
A. Timeline Adherence & Project Delivery
- Ensure all projects are executed as per defined timelines and milestones
- Drive proactive planning and on-site problem-solving to avoid delays
- Monitor execution progress through structured tracking systems
- Take corrective actions to recover delays and maintain delivery commitments
B. Quality Control & Execution Excellence
- Ensure all work meets Chalk Studio’s defined quality benchmarks
- Drive zero-snag handovers through rigorous inspections and audits
- Implement standardized quality check systems across sites
- Ensure consistency in execution irrespective of project scale or team
C. Cost Efficiency & Budget Discipline
- Maintain strict adherence to approved project budgets
- Optimize costs through efficient vendor management and planning
- Minimize rework, wastage, and cost leakages on-site
- Ensure financial discipline without compromising on quality
D. Material Planning & Wastage Reduction
- Drive accurate material planning aligned with project schedules
- Ensure timely availability of materials to avoid execution delays
- Monitor and control material usage to reduce wastage
- Implement systems for tracking material consumption and efficiency
E. BOQ Accuracy, Completeness & Quantity Control
- Own the integrity and accuracy of BOQs across all projects
- Ensure BOQs are fully aligned with drawings, site conditions, and execution realities
- Eliminate scope gaps, omissions, and quantity mismatches
- Validate BOQs prior to procurement and execution stages
- Continuously update BOQs based on on-site changes and variations
- Prevent cost overruns arising from BOQ inaccuracies
F. Design-to-Execution Alignment
- Ensure seamless translation of design intent into on-site execution
- Validate GFC drawings for completeness and buildability
- Identify and resolve design gaps before execution begins
- Maintain accountability for drawing accuracy at execution level
G. Client Management During Execution
- Act as the primary point of contact for clients during execution
- Ensure clear, consistent, and proactive communication
- Manage client expectations while maintaining project discipline
- Drive client satisfaction through smooth execution and timely delivery
H. SOP Implementation & Process Building
- Establish and implement standardized execution processes across projects
- Build structured reporting, tracking, and review mechanisms
- Identify inefficiencies and continuously improve execution systems
- Ensure adherence to defined SOPs across all teams
I. Team Leadership & Performance Management
- Build, lead, and mentor a high-performing execution team
- Drive accountability, ownership, and discipline across all levels
- Set clear performance expectations and monitor outcomes
- Develop team capabilities to scale execution quality
J. Cross-Functional Coordination
- Ensure strong alignment between design, procurement, and execution teams
- Resolve inter-departmental challenges proactively
- Drive collaborative working to ensure smooth project flow
- Act as the central integrator across all execution-related functions
6. Performance, Probation & Leadership Philosophy
During the probation period, the focus will be on auditing existing execution systems, identifying gaps across planning, team structure, and processes, and implementing structured SOPs and reporting mechanisms.
The role is expected to demonstrate visible improvements in execution discipline, efficiency, and on-site control within this phase.
Performance will be evaluated based on measurable outcomes including timelines, quality, cost efficiency, and client satisfaction.
The role carries a strong leadership mandate — to take complete ownership of execution, build a disciplined and accountable team, and consistently uphold Chalk Studio’s standards of quality and professionalism on site.
