Head of Operations
(Full-time | High-Ownership Role | Mumbai, can be made Hybrid later)
✅ Job Description:
We are looking for a sharp, reliable, and growth-oriented Operations & Executive Manager to join our fast-paced yoga and nutrition training company. This role is at the intersection of operations, executive support, client success, and team coordination — ideal for someone who thrives in a dynamic startup environment, is passionate about wellness, and is looking to grow rapidly in their career.
This person will act as the founder's right hand, managing internal and external schedules, leading backend ops, resolving client concerns, coordinating with yoga trainers, and ensuring smooth day-to-day execution.
Key Responsibilities:
✅ Executive Assistance:
- Manage the Founder’s calendar, meetings, inbox, and task follow-ups
- Organize high-priority items, prepare briefs, and ensure timely decision-making
- Draft professional emails, create polished presentations, and prep for meetings
✅ Calendar & Team Coordination:
- Manage end-to-end scheduling for the founder and all yoga/nutrition trainers
- Ensure real-time calendar accuracy, block conflicts, and coordinate leaves/session swaps
- Be the go-to person for trainer availability, onboarding, and session delivery tracking
✅ Operations Management:
- Own and manage daily backend operations (Zoom, WhatsApp groups, Google Sheets, etc.)
- Track live programs, ensure SOPs are followed, and proactively resolve bottlenecks
- Act as a backup resource when team members are unavailable – flexibility is key
✅ Client Success & Communication:
- Handle client queries, feedback, complaints – ensuring clarity, care, and quick action
- Be the face of the brand in terms of customer interaction
- Keep updated trackers of sessions, payments, and attendance
✅ Reporting & Admin:
- Create weekly reports for the founder covering trainer output, session stats, and red flags
- Assist with invoicing, session tracking, and client reminders/payments
- Maintain a structured, system-driven backend with up-to-date data
✅ What We’re Looking For:
- A BBA + MBA (preferably in Ops) with a relevant work experience
OR
- A B.E./B.Tech who has worked in early-stage startups and is good with people and tools
- 3–5 years of experience in operations/executive assistance/client-facing roles
- Experience working in fast-moving startups or founder-led companies
- Strong communication skills – verbal and written (must draft professional emails & decks)
- Ability to manage high-pressure situations, shifting priorities, and tight timelines
- Proficiency in Google Workspace (Docs, Sheets, Calendar), Google Meet, WhatsApp Business
- Highly organized, reliable, and solutions-oriented – “nothing slips through the cracks”
