Job details:
We are looking for a hands-on Finance Leader to take ownership of our end-to-end finance function.
The role will be responsible for four core areas:
- Business Finance Operations
- Financial Control & Governance
- Management Finance & MIS
- Finance Team, Processes & Systems
Our business involves multiple client campaigns and programs, significant procurement and payouts, client invoicing, collections, vendor payments and campaign-level reconciliations.
We need someone who can bring these different financial activities together under one accountable finance function and ensure that financial matters are tracked through to closure.
This is a hands-on leadership role. The Finance Head will be expected to lead the team and establish the appropriate processes and controls, while personally stepping into material financial issues, client escalations and exceptions when required.
1. BUSINESS FINANCE OPERATIONS
Own the financial lifecycle of our client campaigns and programs across:
Commercials → Documentation → Procurement/Payout → Invoicing → Collection → Reconciliation → Closure
Campaign Finance & Invoicing
- Ensure client commercials, POs/work orders and required documentation are appropriately tracked.
- Ensure campaigns and programs are invoiced accurately and on time.
- Track unbilled revenue and resolve issues preventing invoicing.
- Monitor campaign budgets, expenditure, payouts and financial status.
- Ensure completed campaigns/programs are financially reconciled and closed.
- Identify commercial deviations, overspends and other financial exceptions.
Collections & Debtors
- Own debtor ageing and overall collections discipline.
- Establish structured weekly collection reviews and follow-ups.
- Ensure every material overdue receivable has a clear reason, owner, next action and expected collection date.
- Work with Client Servicing, Sales and client Finance/Procurement teams to resolve issues preventing collection.
- Personally intervene in significant collection issues and client financial escalations.
- Maintain accurate visibility of expected collections and cash inflows.
Procurement, Payouts & Creditors
- Establish financial oversight of procurement, vendor payments and campaign payouts.
- Ensure material expenditure is appropriately approved and supported.
- Track vendor invoices, outstanding creditors, advances and payment commitments.
- Ensure vendor and procurement reconciliations are completed.
- Ensure payout instructions have appropriate supporting documentation and approvals.
- Maintain visibility over client-funded advances, campaign floats, payouts, liabilities and unused balances.
The Finance Head is not expected to personally process every invoice or reconciliation. The expectation is to ensure the finance team has the systems, ownership and discipline required to ensure nothing falls through the cracks.
2. FINANCIAL CONTROL & GOVERNANCE
Ensure that the financial records and transactions of the organisation are accurate, controlled and appropriately documented.
Key Responsibilities
- Establish and maintain financial controls across:
- Client invoicing
- Collections
- Procurement
- Vendor payments
- Campaign expenditure
- Payouts
- Advances
- Expenses
- Reconciliations
- Ensure appropriate approval matrices and maker-checker mechanisms are followed.
- Ensure client and vendor ledgers are regularly reconciled.
- Ensure campaign and payout balances are reconciled and exceptions investigated.
- Identify financial leakages, control gaps and process failures.
- Conduct periodic internal reviews of finance-related processes across departments.
- Ensure financial documentation and audit trails are maintained.
- Coordinate internal/statutory audits and ensure timely closure of observations.
- Ensure applicable accounting, tax and statutory compliance requirements are met.
The expectation is not simply to identify discrepancies, but to determine why they occurred, correct them and put controls in place to prevent recurrence.
3. MANAGEMENT FINANCE & MIS
Provide Management with a clear and reliable view of the financial position of the business.
Own timely and accurate reporting covering:
- Revenue and invoicing
- Unbilled revenue
- Collections
- Debtor ageing
- Creditor ageing
- Cash and bank position
- Cash-flow requirements
- Procurement and payout exposure
- Outstanding advances
- Campaign/program financial status
- Departmental expenditure
- Profitability and margins
- Material financial risks and exceptions
Management Exception Reporting
The objective is not simply to provide spreadsheets or historical reports. The Finance Head should be able to clearly communicate:
- What requires attention?
- Why has it happened?
- What is the financial exposure?
- Who owns the resolution?
- What action is being taken?
- When will it be closed?
Routine financial matters should be handled within the Finance function.
Management involvement should primarily be required for material exceptions, escalations and decisions.
4. FINANCE TEAM, PROCESSES & SYSTEMS
Build a finance function where responsibilities are clearly defined and financial processes operate consistently without excessive dependence on individuals or Management follow-up.
Key Responsibilities
- Review and appropriately structure responsibilities within the Finance team.
- Establish clear ownership for invoicing, collections, payables, accounting and reconciliations.
- Define SOPs and timelines for key financial processes.
- Establish weekly and monthly finance operating rhythms.
- Improve the quality, accuracy and timeliness of financial data.
- Reduce manual follow-ups and dependency wherever possible.
- Ensure financial information is maintained within appropriate systems rather than fragmented spreadsheets.
- Identify opportunities for automation and process improvement.
- Establish clear escalation mechanisms for financial exceptions.
- Build accountability within the Finance team for outcomes rather than individual activities.
The Finance Head should progressively create a function where the team manages routine finance operations independently and the Head focuses on control, exceptions, decision-making and closure.
