Position: Head of Facility Manager
Location - Bhiwadi
Job Summary
We are seeking an experienced and proactive Facility Manager to oversee the overall operations, maintenance, administration, and financial management of residential/commercial properties. The candidate will be responsible for ensuring smooth facility operations, maintaining high service standards, managing stakeholder relationships, and leading facility teams effectively.
Key Responsibilities
Facility Operations & Maintenance
- Oversee day-to-day facility management operations.
- Monitor and supervise plumbing, electrical, HVAC, firefighting, DG sets, lifts, and other building systems.
- Ensure preventive and corrective maintenance is carried out as per schedule.
- Coordinate with vendors and service providers for maintenance activities.
- Ensure compliance with safety standards and statutory requirements.
Financial Management
- Manage billing, collections, ledger reconciliation, and account-related activities.
- Prepare and monitor annual operating budgets and expense forecasts.
- Control operational costs and ensure optimum utilization of resources.
- Review invoices, vendor payments, and financial records.
Resident & Stakeholder Management
- Address resident complaints, queries, and service requests promptly.
- Maintain strong relationships with residents and ensure high levels of customer satisfaction.
- Coordinate and work closely with Resident Welfare Associations (RWA) and management committees.
- Conduct meetings with residents and RWA representatives to resolve operational issues.
Liaisoning & Compliance
- Liaise with government departments, local authorities, utility providers, and regulatory bodies.
- Ensure all licenses, approvals, and statutory compliances are maintained and renewed on time.
- Coordinate inspections and audits as required.
Collection Management
- Monitor maintenance fee collections and outstanding dues.
- Follow up with defaulters and implement collection strategies.
- Maintain accurate collection records and reports.
Team Management
- Lead and supervise housekeeping, security, maintenance, and support staff.
- Conduct regular team meetings and performance reviews.
- Ensure proper manpower deployment and workforce discipline.
- Train team members on operational procedures and service standards.
MIS & Reporting
- Develop and maintain an effective MIS and reporting system.
- Prepare daily, weekly, and monthly operational reports.
- Track key performance indicators (KPIs) and present management reports.
- Analyze operational data and recommend process improvements.
Additional Responsibilities
- Implement cost-saving initiatives without compromising service quality.
- Manage emergency situations and crisis response plans.
- Ensure cleanliness, security, and overall upkeep of the property.
- Handle vendor negotiations, contracts, and performance evaluations.
- Support community engagement activities and resident welfare initiatives.
- Identify opportunities for operational efficiency and continuous improvement.
Required Skills & Qualifications
- Graduate in any discipline; Facility Management certification will be an added advantage.
- Strong knowledge of facility operations, maintenance, and administration.
- Good understanding of billing, accounts, budgeting, and collection processes.
- Excellent communication, negotiation, and interpersonal skills.
- Strong leadership and team management capabilities.
- Proficiency in MS Office, MIS reporting, and facility management software.
- Ability to handle multiple tasks and work under pressure.
Experience
- 5–10 years of experience in Facility Management, Property Management, Residential Townships, Group Housing Societies, Commercial Complexes, or Real Estate projects.
