We are seeking an experienced and dynamic Head of Facilities and Administration based in Chennai to lead our comprehensive facilities management and administrative support functions. This pivotal role is responsible for ensuring a safe, efficient, and productive work environment across all our premises. The successful candidate will drive operational excellence, manage vendor relationships, optimize resources, and ensure compliance with all statutory and organizational standards. This leader will play a critical role in supporting our business operations and enhancing the overall employee experience.
Key Responsibilities:
1. Facilities Management:
- Oversee the maintenance and upkeep of all physical infrastructure, ensuring optimal functionality and longevity.
- Lead office space planning, design, and optimization to support business growth and evolving workplace needs.
- Manage property affairs, including coordination with landlords, property managers, and internal teams for real estate operations such, lease agreements, renewals, and expansions.
- Ensure workplace safety, security, and strict compliance with all statutory norms, including fire safety, building codes, and environmental regulations.
2. Administration:
- Manage and enhance company-wide administrative support services, including front office, pantry services, housekeeping, and mailroom operations.
- Develop, implement, and continuously refine Standard Operating Procedures (SOPs) for all administrative activities to ensure consistency and efficiency.
- Drive cost-effective procurement and meticulous inventory management of office supplies, equipment, and related resources.
3. Vendor and Contract Management:
- Identify, evaluate, select, and manage a diverse portfolio of vendors for all facility-related services (e.g., AMC contracts, cleaning, security, pest control, landscaping).
- Lead contract negotiations, establish robust Service Level Agreements (SLAs), and rigorously monitor vendor performance to ensure quality and adherence.
4. Team Management:
- Lead, mentor, and develop a high-performing facilities and administration team across multiple office or plant locations.
- Conduct regular performance reviews, facilitate continuous training, and foster team-building activities to promote a collaborative and high-achieving culture.
5. Budgeting and Reporting:
- Prepare, manage, and meticulously control the annual facilities and administration budget.
- Proactively monitor costs, identify opportunities, and implement effective cost-saving initiatives without compromising quality.
- Generate comprehensive periodic reports on facility usage, maintenance activities, and administrative Key Performance Indicators (KPIs) for senior leadership.
6. Security and Compliance:
- Oversee the strategic implementation and ongoing management of physical security measures, access controls, CCTV systems, and emergency preparedness protocols.
- Ensure stringent adherence to all health, safety, and environmental regulations.
- Coordinate closely with legal and compliance teams for necessary audits, inspections, and regulatory updates.
7. Support Services:
- Oversee and streamline travel arrangements, event logistics, and company transportation services.
- Actively support and contribute to business continuity planning (BCP) and crisis management initiatives, ensuring organizational resilience.
Key Requirements:
- Education: Bachelor’s degree in Business Administration, Facilities Management, Engineering, or a related field is required; an MBA is preferred.
- Experience: 20–25 years of progressive experience in Facilities Management and Administration, with at least 5 years in a leadership or head-of-department role.
- Knowledge: Strong understanding of facility operations, property management, vendor management best practices, and compliance norms specific to India.
- Technical Skills: Proficiency in MS Office suite and demonstrated experience with facility management software/tools.
- Excellent interpersonal, communication (written and verbal), and negotiation skills.
- Proven strong leadership, organizational, and problem-solving abilities.
- Demonstrated capability to manage multiple priorities in a fast-paced environment.
- Army background (Preferred)
