Key responsibilities
1. Overall expense control

- Obtain explanations from City Managers and Hotel Managers, agree on corrective actions and track completion.
- Review major cost categories, including F&B, housekeeping, linen, laundry, utilities, maintenance, staffing and outsourced services.
- Compare costs across properties, accounting for occupancy, location and service requirements.
- Work with Finance and Operations to establish budgets, spending limits and expense approval processes.
2. Central procurement and sourcing
- Build and lead a central procurement process across existing hotels and new openings.
- Consolidate requirements across properties to negotiate better rates and long-term supply agreements.
- Source manufacturers, distributors and service providers; compare price, quality, delivery and payment terms.
- Standardise product specifications and approved alternatives for common hotel supplies.
- Establish clear processes for purchase requests, quotations, approvals, purchase orders and delivery tracking.
- Define which items should be purchased centrally and which require approved local sourcing.
- Plan purchases to prevent shortages, unnecessary emergency buying and excess stock.
3. Vendor management
- Create and maintain an approved vendor database with agreed rates, terms and service commitments.
- Evaluate and onboard vendors, negotiate contracts and periodically benchmark existing rates.
- Monitor product quality, delivery reliability and adherence to agreed terms.
- Resolve shortages, quality complaints, returns and replacement issues.
- Develop backup suppliers for critical categories.
- Maintain transparent vendor selection and identify potential conflicts of interest.
4. Inventory, reporting and implementation
- Strengthen stock verification, consumption tracking and controls over wastage and losses.
- Coordinate with Finance on discrepancies between orders, goods received and invoices.
- Train property teams on purchasing and expense-control processes.
- Report monthly on expense variances, savings verified by Finance, vendor performance and corrective actions.
Candidate requirements
- Proven experience in cost control and procurement, preferably across multiple hotels or hospitality outlets.
