Reward Operations Specialist (PO Management) (G8)
About the role
The Reward Operations Specialist (PO Management) will be part of the Reward Operations Team within Haleon’s Global People Solutions function. It will support the Global Benefit COE. The successful candidate will play a crucial role in ensuring that compensation and benefits processes are delivered within established time frames.
The role will report to the Global Reward Operations Manager and will require working both externally with our vendors and global broker partner, and will work closely with the Reward Business Partners, Benefit Admin Team as well as other members of the Global Benefit COE team.
Key responsibilities
Provide global oversight and management for all matters relating to purchase orders and invoices for our benefit vendors globally.
This includes the management of the vendor benefit onboarding process (for new benefits & vendor), creation and management of all global benefit purchase orders (POs), management of vendor invoices for each PO and coordination of any recharge costs to the relevant employee cost centre.
Adherence to the global benefits governance framework to ensure all required documentation have been provided by the relevant teams (before onboarding new vendor and or raising a PO).
Provide analytical and coordination support across benefits initiatives for the business across multiple countries, ensuring accuracy, compliance and smooth execution.
Support Reward Business Partners in processes including but not limited to benefit renewals, new vendor selection, reconciliation of invoices with vendors and where applicable, work with our global broker, WTW, to follow up on vendors on payment queries, triaging and escalation of issues.
PO uplift – forecasting & adjustments for changes in PO amount.
Year-end processing relating to vendor contract renewals & to close down and reconcile POs.
Managing annual audit activities.
Participate in other ad hoc benefit projects as required.
Support with benefits survey submissions as required.
Answer daily queries regarding benefits PO and invoices.
Make recommendations for continuous improvement and simplification of processes and practices in conjunction with broader HR Transformation framework
Qualifications and skills
Fluent English language
Finance and/ or Benefits administration experience is preferred.
Ability to proactively manage own workload with keen eye for detail
Demonstrable analytical capability and skill for managing, interpreting and analysing large quantities of data
High level of expertise in standard MS Office software (Word, Excel, PowerPoint)
Good communication skills, provides high-quality deliverables in a fast-paced working environment
Ability to handle multiple tasks & work as part of a team
Simplification mindset, evidenced by demonstrable examples of process improvement and automation
Min. 7-10 years of experience in a finance, HR, Administration or similar areas gained in a large commercial organisation or consultancy
