Job Summary
The Front Office Guest Service Associate is the first point of contact for hotel guests. The role involves delivering excellent customer service, managing reservations, processing guest arrivals and departures, handling guest requests, and maintaining accurate records while ensuring a smooth and pleasant guest experience.
Key Responsibilities
- Welcome guests with a warm and professional attitude.
- Perform guest check-in and check-out procedures efficiently.
- Verify guest identification and process payments.
- Handle room reservations, cancellations, and modifications.
- Answer phone calls and respond to guest inquiries.
- Provide information about hotel services, facilities, and local attractions.
- Resolve guest complaints promptly or escalate them to the appropriate department.
- Coordinate with Housekeeping, Maintenance, and Food & Beverage departments to meet guest needs.
- Maintain accurate guest records using the hotel's Property Management System (PMS).
- Prepare daily reports and maintain the front desk logbook.
- Handle cash, credit card transactions, and billing accurately.
- Follow hotel policies, safety procedures, and confidentiality standards.
- Upsell room categories and hotel services whenever appropriate.
Required Skills
- Excellent communication and interpersonal skills.
- Strong customer service orientation.
- Professional appearance and positive attitude.
- Basic computer knowledge and familiarity with hotel PMS software (e.g., Opera, IDS, or Fidelio).
- Good problem-solving and multitasking abilities.
- Ability to work flexible shifts, including weekends and holidays.
- Basic knowledge of English; additional languages are an advantage.
Qualifications
- Diploma in Hotel Management, Hospitality, or a related field.
- Prior experience in a hotel front office is preferred.
- Freshers with good communication skills may also be considered.
