Position Summary
We are looking for a highly organized, professional, and dynamic Front Office Executive with a background in the hospitality or hotel industry. The Front Office Executive will be responsible for managing the executive's schedule, communication, and other administrative duties, ensuring smooth daily operations and helping the senior leadership team focus on strategic priorities.
Key Responsibilities
- Executive Support: Provide high-level administrative support to the senior management team, including calendar management, meeting coordination, and preparation of reports and presentations.
- Correspondence Management: Manage both internal and external communications with a high degree of professionalism, including phone calls, emails, and other correspondence.
- Event and Function Support: Assist in organizing corporate events, functions, and special gatherings. Work with the management team to ensure smooth operations during functions and festivals, including extended working hours as needed.
- Travel and Accommodation: Coordinate travel arrangements (flights, hotels, transport) for senior management, ensuring convenience and cost-effectiveness.
- Office Management: Handle office-related logistics, ensuring that the work environment is always neat, organized, and equipped.
- Confidentiality: Maintain a high level of confidentiality with sensitive information and correspondence.
Requirements
Educational Qualification:
- A Bachelor’s Degree in Hotel Management (BHM) from a reputed institution.
Experience: Minimum 2 to 3 years of experience in the hotel/hospitality industry or similar roles with direct exposure to senior executives.
Skills & Competencies
- Strong Communication: Excellent English verbal and written communication skills with the ability to interact effectively with senior leadership, clients, and external partners.
- Personality: Presentable with a pleasing and professional demeanor; a strong sense of decorum and confidence.
- Organizational Skills: Exceptional time-management and organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Tech-Savvy: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other office management tools. Familiarity with business communication platforms like Zoom or MS Teams is an advantage.
Event Coordination: Hands-on experience with planning and executing events, both formal and informal.
- Appearance: Well-groomed, with a professional appearance and an ability to adhere to corporate dress codes (Western formals mandatory; uniforms will be provided by the company).
