POSITION: Legal Secretary I
DEPARTMENT: District Attorney’s Office
LOCATION: Greene County Court House
SALARY: (SEIU PG 8) Regular Full-Time
$14.52/hour
HOURS: 8:30 am to 4:30 pm Monday to Friday
1-hour unpaid lunch
(35 hours per week)
BENEFITS: Health, Vision & Dental – First of month following date of hire

OVERALL OBJECTIVE OF JOB:
To perform various paralegal and clerical duties within the District Attorney’s office.
ESSENTIAL FUNCTIONS OF JOB:
1. Coordinate and schedule trials and Court related hearings.
2. Receive and refer matters for criminal investigation.
3. Handle initial contact with members of the public, including drug hotline tips.
4. Handle telephone contacts with public, all Court related offices, law enforcement, and defense counsel.
5. Transcribe dictation as well as witness statements recorded by law enforcement.
6. Prepare pleadings for Common Pleas and appellate courts, as well as responses and appeals in federal habeas corpus petitions.
7. Monitor the Court calendar and maintain a system, re: Court deadlines and hearings.
8. Prepare other necessary County related paperwork for the District Attorney’s office.
9. Maintain department files according to prescribed standards.

OTHER DUTIES OF THE JOB:
1. Utilize computer, telephone and other office equipment as needed to perform essential job functions.
2. Attend meetings as required.
3. Maintain confidentiality of office affairs.
4. Perform other related duties as required.
SUPERVISION RECEIVED:
Receive occasional instructions from District Attorney and Assistant District Attorneys with regard to daily work duties.
SUPERVISION GIVEN:
None
WORKING CONDITIONS:
1. Works indoors in adequate work space, temperatures, ventilation and lighting.
2. Works with average indoor exposure to noise, stress and disruptions.
3. Normal indoor exposure to dust/dirt.
PHYSICAL AND MENTAL CONDITIONS:
1. Must possess ability to record, convey and present information, explain procedures and follow instructions.
2. Must be able to sit for long periods throughout the workday, with intermittent periods of standing, walking, bending, twisting and reaching necessary to carry out duties of job.
3. Dexterity requirements range from coordinated movements of fingers/hands for computer work to simple dexterity of feet/legs; torso necessary to carry out duties of job.
4. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten pounds.
5. Must be able to pay close attention to details and concentrate on work.
QUALIFICATIONS:
A. EDUCATION/TRAINING:
High School diploma or Associates Degree in Business. Computer training required, including word processing skills.
B. WORK EXPERIENCE:
Minimum of 4-5 years of secretarial/clerical experience of progressively responsible nature in a legal environment, or any equivalent combination of experience and/or training.
C. CRIMINAL / CREDIT HISTORY:
The candidate’s criminal and credit histories are subject to review and the candidate agrees to sign any necessary forms and submit any required fees associated with obtaining this information as a prerequisite to employment.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Must be able to speak and understand the English language in an understandable manner in order to carry out essential job duties.
2. Must possess effective communication and interpersonal skills.
3. Must possess ability to function independently, have flexibility and the ability to work effectively with co-workers and the general public.
4. Must possess thorough knowledge of word processing and financial software, such as Quicken, Power Point, and Excel, and utilizing modern office practices, procedures and equipment.
5. Must possess thorough knowledge of business English, spelling and arithmetic.
6. Must possess the knowledge and ability to locate necessary records in Courthouse Offices.
7. Must possess the ability to exercise independent judgment on disposition of office problems and the ability to exhibit individual initiative in carrying out assigned projects.
8. Must possess the ability to compose a variety of letters, memoranda and reports with limited instruction.
9. Must possess the ability to maintain a variety of records and prepare complete and accurate reports, including grant reports.
