Job Summary:
The Construction Administrative Assistant plays a key role in supporting the Project Management Team by providing essential administrative and project coordination throughout project execution and close-out. This position ensures accurate project documentation, and clear communication among all stakeholders while assisting with daily operations to keep projects on track in a fast-paced construction environment.
Key Responsibilities:
Communication
- Serve as a liaison between project managers, clients, subcontractors, and other stakeholders
- Coordinate and distribute project-related communications in a timely and professional manner
Project Documentation
- Maintain organized and up-to-date project files (digital and physical)
- Prepare meeting agendas, record meeting minutes, and distribute follow-ups
Scheduling & Coordination
- Manage project calendars, schedule meetings, and coordinate logistics
- Set up and assist with hybrid/virtual meetings, including presentation support
Knowledge, Skills, & Abilities:
Technical Skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams)
- Experience with Adobe Acrobat and SharePoint preferred
- Familiarity with construction management software is a plus
- Basic understanding of construction terminology, processes, and documentation workflows
Education
- High school diploma required
- Associate’s degree in Construction, Engineering, or a related field preferred
Experience
- 4+ years of experience supporting construction or engineering projects

$65,000-$75,000 annually depending on experience
