Summary: We are seeking a proactive Virtual Assistant to support our team with email management, phone answering, and invoicing tasks. The ideal candidate will demonstrate excellent communication skills and the ability to work independently. About the Job

Key Duties:

Email Management

• Monitor and triage the company’s general Gmail inbox
• Respond to basic inquiries using templates and an established tone
• Forward specific messages to relevant departments (e.g., Jade, Art, Catering)
• Unsubscribe from spam, archive outdated threads
• Provide a weekly summary of key communications

Phone Answering

• Answer calls related to restaurant catering services
• Handle general inquiries or redirect to the appropriate contact
• Take clear, concise messages when needed

Invoicing Support

• Send invoices to clients for completed catering services (training provided)
• Track sent invoices and flag unpaid ones
• Use existing templates and systems; assist with improvements if needed

Skills and Experience

Essential Skills:

• Previous experience as a Virtual Assistant or in customer service/admin
• Excellent spoken and written English
• Friendly and professional phone manner
• Strong attention to detail and ability to work independently
• Reliable internet connection and a quiet home workspace
• Familiarity with Microsoft Teams, Gmail, and Google Drive
• Experience in hospitality or similarly fast-paced industries
