About the role

The Opportunity

We are seeking a highly organized, adaptable, and proactive Part-Time Executive Assistant to support the CEO and Executive Management Team (EMT). This role requires strong administrative skills, the ability to manage competing priorities, and a high level of professionalism and discretion. The successful candidate will play a key role in ensuring the smooth operation of executive functions and internal engagement initiatives.

Hours of work: Tuesday to Thursday from 8:00am – 4:30pm

In this role you will:

  • Manage calendars and coordinate meetings for the CEO and EMT
  • Prepare agendas, documents, and logistics for meetings
  • Own and manage the travel program, including booking and itinerary coordination for the CEO and EMT
  • Manage, prepare and submit expense reports and credit card reports for CEO and EMT
  • Administer a variety of company policies and procedures, such as the travel policy and gift card policy and procedure
  • Lead the Employee Engagement Committee and organize internal events
  • Handle confidential documents and communications with discretion
  • Support EMT with presentations and reports using Microsoft 365 tools
  • Support CEO & EMT on other ad-hoc administrative tasks (mailing, sorting, filing, etc.)


What You Need

  • Minimum 3 years of experience supporting senior leadership in an administrative capacity
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft 365, especially PowerPoint, Outlook, Teams, and Word
  • Ability to work independently and manage multiple tasks
  • Adaptable and proactive with a solution-oriented mindset
