About the Role

As an Executive Secretary/ EA to the Founder’s Office, you will act as a force multiplier for the founder. Your role is not administrative support alone, but context management, priority orchestration, and execution enablement. You ensure that attention, time, and decisions are directed to the highest-leverage outcomes, while shielding the founder from avoidable noise and inefficiencies.
This role requires judgment, discretion, anticipation, and ownership and not just task execution.
This role is the “Lubrication between every department of this complex machinery” that ensures smooth and connected functioning of all Parts
Your primary contribution will be:
1) Founder's Office : Supporting CynLr’s Internal and external personnel with communication, coordination, and information presentation.
Key : Maintain confidentiality, discretion, and trust in handling sensitive information.
- Handle all Stakeholder Interactions for the Founder – Investors, Employees, Vendors, and Customers. Own outbound and inbound communication flow across industry contacts, leaders, and candidates.
- Draft emails, manage follow-ups, and handle calls on the Founder's behalf
- Ensure no thread goes cold; close loops without founder intervention
- Calendar & Time Gatekeeper Own the Founder's calendar end-to-end. Negotiate meeting slots to fit Founder's rhythm, Create free time away from meetings for thinking & building, and eliminate unpredictable bookings.
- Build and enforce a meeting prioritization framework to minimize decision delays
- Cluster related meetings to reduce context-switching fatigue
- Default bias: fewer, denser, more intentional calendar blocks
- Meetings & Information: Gather information on the members of the meeting, keep the founders informed and prepared on the information relevant to the agenda of the meeting, formulate clear agenda for the meetings, shadow meetings and follow up on the tasks that arise out of meetings.
- Information presentation: Preparing executive reports, regularly scheduled administrative reports, ensuring smooth flow of information within the company to facilitate other business operations.
- Proactively identify inefficiencies in workflows and suggest improvements to reduce friction for the founder(s).
2) Org-Wide Administration: Aiding in CynLr’s Internal Processes in office administration and other operations:
- Access and Attendance Tracking: Track leaves announcements and follows up on necessary approvals.
- Travel Management & Commute: Managing International travel itinerary for the Founders and the team, processing Visa applications, resourceful in vendor network to handle travel hiccups.
- Event & Meeting Management: Arrange office and leadership visits, Coordinate internal events, All-hands Meetings.
- Employee Onboarding : Coordinate information gathering for drafting employee contracts, preparing onboarding documents, introducing new employees to company processes and company facility
- Logistics: Assist all logistics and material movement problems for CynLr – Office, RnD, Sales, Branding. Participate with the Branding team in coordinating and organizing events and other logistics-related activities.
- Facilitating CynLr’s Internal use of Infrastructure and Resources : Overseeing the maintenance and serviceability of office equipment; ordering office supplies to restock when necessary.
3) Company Secretarial : Assisting CynLr’s External Compliance Activities, Accounting, Auditing, Documentation & Other Office Assistance (Expertise not required, awareness about these tasks is preferred)
- Statutory Audit Compliance: Sending notices, gathering attendances, documenting board resolutions for board meetings and AGMs; following up and co-ordinating with the company secretary.
- Legal Coordination: Coordinate legal agreement drafting with Legal Consultants, proof-read, documentation verification, prepare Legal Agreements and NDAs
- Labour Laws Compliance: Maintaining compliance registers and renewing registrations, ensuring annual compliance for applicable laws every year, following up on compliance-related training, and Compiling and filing all compliance-related reports
What Will You Do?
You will enable the founder(s) to focus on the highest-impact work by taking ownership of coordination, prioritization, and execution hygiene.
You will:
- Filter noise from signal.
- Convert open-ended discussions into clear next steps.
- Ensure time is spent on decisions, not logistics.
- Act as an early warning system when priorities clash, timelines slip, or communication breaks.
You are not expected to “do everything,” but you are expected to own what you touch end-to-end.
What Will You Need to Do This Role Well
- Strong ability to understand context quickly and prioritize based urgency and importance.
- Comfort working in ambiguous, fast-changing environments without predefined SOPs.
- Excellent written and verbal communication skills: clear, concise, and outcome focused.
- High level of empathy and emotional intelligence, especially in managing founder bandwidth.
- Strong organizational skills for managing calendars, priorities, and follow-ups at scale.
- Judgment to know when to act independently vs when to escalate.
- Ability to anticipate needs rather than wait for instructions.

Team Structure
The Executive Assistant operates within the Founder’s Office, which acts as a connective layer across the organization.
While the EA works closely with the founder(s), the role interfaces continuously with:
- Engineering leadership
- Operations and Supply Chain
- Finance and Compliance
- HR and Talent
- External stakeholders (investors, advisors, partners)
The Executive Assistant owns execution within their scope while acting as a context carrier across functions thus ensuring alignment without becoming a bottleneck.
