Role Description:
We are seeking a dedicated Front Office Receptionist for a full-time, on-site position in the Kolkata metropolitan area. The Front Office Receptionist will be responsible for managing reception area activities, handling phone communications, scheduling, greeting visitors, and providing outstanding customer service. Additional duties include general administrative tasks and assisting with office coordination to ensure smooth daily operations. Candidates must be residing at Kolkata only.
Mandatory Qualifications:
- Strong Receptionist Duties and Front Office management skills, including managing appointments and maintaining records
- Exceptional Phone Etiquette and Customer Service abilities to assist visitors and handle inquiries courteously
- Effective Communication skills, both written and verbal, to interact with clients and team members
- Proficiency in basic office software and multitasking in a dynamic work environment
- Excellent proficiency in English for both written and verbal communication skills.
- Ability to work under pressure with multitasking and prioritizing.
- Friendly demeanor, attention to detail, and a professional appearance.
- Prior experience in a receptionist or administrative role is an advantage (minimum 3 - 4 years work experience required)
- Minimum graduate i.e. BSc, MSc, B.Comm, BBA or equivalent; additional certifications or training in office administration are a plus point for the candidates.
Additional Skills Required:
- Mail and Package Handling: Sorting, distributing and preparing emails & courier packages.
- Front Desk Security: Maintaining visitor logs, issuing badges, and screening access to the facility.
- Clerical Assistance: Performing tasks like data entry, filing, photocopying, and faxing for various departments.
- Maintaining Reception Area: Ensuring the lobby or reception space is clean, organized, and welcoming.
- Managing Office Supplies: Monitoring inventory and ordering necessary office supplies (stationary items or pantry items).
- Providing Information: Answering general inquiries via phone or in-person regarding the company, services, or locations.
- Greeting Visitors: Welcoming clients, vendors, and guests professionally, ensuring a positive first impression.
- Handling Phone Calls: Answering, screening and forwarding calls promptly and professionally.
