The ideal candidate should be a quick learner, capable of handling responsibilities independently, and able to maintain professional communication with visitors, staff, and stakeholders.
Key Responsibilities & Duties
The employee will be expected to deliver a high level of professionalism and customer service while managing front office operations efficiently.
- Take complete responsibility for managing the Front Office operations.
- Handle all inbound and outbound calls professionally and maintain proper call records.
- Maintain records of incoming and outgoing couriers, ensure proper handover to concerned staff, and obtain acknowledgment signatures.
- Coordinate housekeeping, office maintenance, and stationery requirements.
- Schedule and manage appointments for webinars, meetings, and training sessions with universities and Kaaiser staff.
- Update walk-ins, telephonic enquiries, and visitor details in the system/database.
- Coordinate visits, meetings, and webinars with university admission managers.
- Prepare and submit daily, weekly, and monthly work reports to the designated reporting officer.
- Share attendance sheets with HR and Accounts departments on a regular basis.
- Maintain and manage appointments, schedules, and meeting calendars for the CEO.
- Ensure proper coordination and communication between departments for smooth office functioning.
Essential Skills
- Strong verbal and written communication skills in English and Hindi
- Good knowledge of MS Office, MS Teams, Zoom, and basic computer operations
- Professional and welcoming approach towards visitors and callers
- Strong coordination, multitasking, and organizational abilities
- Ability to work independently and maintain confidentiality
- Good interpersonal and internal communication skills
