A Front Office Executive is responsible for managing the front desk operations and providing exceptional service to members and guests. This includes greeting visitors, managing inquiries, handling reservations, and coordinating administrative tasks to ensure a smooth and welcoming experience. Act as the first point of contact and contribute to the overall positive atmosphere of the club.
Key Responsibilities
1. First Point of Contact: Warmly greeting members and guests, providing a positive first impression of the club.
2. Visitor Management: Direct visitors to the appropriate staff or areas, manage visitor logs, and ensure security protocols are followed.
3. Reservations: Handle reservations for club facilities (dining, events, etc.) via phone, email, or online platforms, and manage booking confirmations.
4. Inquiries and Information: Provide accurate and helpful information about the club's services, amenities, events, and membership details.
5. Administrative Support: Manage phone calls, emails, and other administrative tasks to support the smooth operation of the front office.
6. Guest Relations: Address member and guest inquiries, resolve issues, and ensure a high level of satisfaction.
7. Facility Maintenance: Ensure the reception area is tidy, organized, and well stocked with necessary supplies.
8. Communication: Communicate effectively with other club departments (e.g., F&B, events) to coordinate services and ensure member needs are met.
9. Upselling and Promotion: Promote club events, services, and membership benefits to enhance member experience and drive revenue.
10. Record Keeping: Maintain accurate records of member information, reservations, and other relevant data.
11. Cash Handling: Process payments, manage cash transactions, and reconcile daily transactions (if applicable).
12. Teamwork and Collaboration: Work effectively with other front office staff and other departments to ensure seamless operations.
13. Problem Solving: Handle guest complaints and issues effectively and escalate complex situations to the appropriate management.
14. Security: Be aware of security procedures and protocols and ensure the safety and security of the club and its members.
