The Front Office Assistant is the face and voice of CFC. This role is responsible for creating a welcoming experience for every visitor, member, and prospective client while ensuring smooth front desk operations. The ideal candidate should be friendly, confident, organized, and passionate about delivering exceptional customer service.
In addition to managing the reception area, the role involves calling and following up with prospective members, scheduling appointments and trial sessions, and assisting in converting inquiries into memberships.
Key Responsibilities:
Front Desk & Customer Service
- Greet members, visitors, and guests in a warm and professional manner.
- Assist with inquiries related to memberships, fitness programs, schedules, and facilities.
- Manage visitor registrations and maintain front desk records.
- Coordinate appointments, consultations, and trial sessions.
- Ensure the reception area remains clean, organized, and presentable at all times.
Telecalling & Lead Folow up
- Make outbound calls to prospective clients and leads.
- Explain membership plans, promotions, and available fitness programs.
- Follow up with walk-in inquiries and online leads.
- Schedule appointments and trial sessions for interested prospects.
- Maintain accurate records of leads and follow-up activities.
Member Support
- Address member queries and concerns promptly and professionally.
- Build positive relationships with members by delivering excellent customer service.
- Conduct follow-up calls to improve member engagement and retention.
- Collect member feedback and coordinate with relevant departments to ensure customer satisfaction.
Administrative Responsibilities
- Maintain attendance, appointment, and inquiry records.
- Prepare daily and weekly reports on leads, appointments, and conversions.
- Support membership registration and documentation processes.
- Coordinate with trainers and management to ensure smooth daily operations.
- Assist in promotional campaigns, events, and member engagement activities.
