About IKSANA:
IKSANA is a coworking and managed office operator building high-quality workspace infrastructure for Emerging India. We are launching our first centre in Visakhapatnam at the World Trade Centre, Andhra Pradesh MedTech Zone. The centre will offer premium private offices, managed suites, flexible coworking, meeting spaces, and hospitality-led workplace services, and will serve companies operating within the AMTZ ecosystem, startups, GCCs, enterprise teams, med-tech businesses, and regional corporates looking to establish or expand their presence in Visakhapatnam.
About the role:
We are looking for a dependable and hands-on Front Desk and Centre Operations Executive to support the day-to-day functioning of our Vizag centre. You will be expected to work closely with the Community Manager and assist across front desk management, client support, housekeeping supervision, meeting room coordination, vendor follow-ups, basic facility operations, and centre administration.
We would prefer someone who is open to working as a resident manager, particularly during the initial phase of the centre. Suitable accommodation will be provided depending on the candidate and the operational requirements of the role.
What you will own:
Front desk and visitor management
- Welcoming clients, guests, vendors, and other visitors to the centre.
- Managing visitor registrations, access requirements, entry records, and coordination with security.
- Answering incoming calls and directing enquiries to the appropriate person.
- Managing the reception email, visitor queries, courier records, incoming and outgoing parcels, and general front desk communication.
- Maintaining a professional and presentable reception area at all times.
- Assisting with meeting room bookings, availability checks, guest coordination, and room readiness.
- Ensuring that meeting rooms are clean, properly arranged, and equipped before every booking.
- Supporting the Community Manager during client visits and centre tours.
- Providing basic information about the centre, its facilities, services, timings, and operating guidelines.
Client and member support
- Assist clients with routine service requests and ensure that their concerns are acknowledged promptly.
- Record client complaints, maintenance requests, access issues, internet concerns, housekeeping requirements, and other operational tickets.
- Coordinate with the Community Manager, maintenance teams, vendors, or WTC stakeholders for timely resolution.
- Help new clients and employees understand centre facilities, access processes, meeting room usage, and the like.
- Support client onboarding, employee access activation, workspace handovers, and move-in coordination.
- Maintain a polite and solution-oriented approach, including during busy periods or difficult client interactions.
- Escalate sensitive, commercial, or unresolved matters to the Community Manager at the right time.
Housekeeping and service supervision
- Conduct regular centre walks to check housekeeping, pantry, washrooms, meeting rooms, workspaces, reception areas, corridors, and common spaces.
- Supervise housekeeping and pantry staff and ensure that daily checklists are completed properly.
- Monitor staff attendance, grooming, uniforms, punctuality, behaviour, and quality of work.
- Ensure that cleaning schedules are followed and that high-traffic areas are attended to regularly.
- Report repeated service gaps or manpower issues to the Community Manager and vendor supervisor.
- Check that washrooms, pantry areas, meeting rooms, and shared spaces remain adequately stocked.
- Monitor the availability of drinking water, tissues, toiletries, cleaning supplies, pantry materials, and other consumables.
- Help maintain the hospitality standards expected from an IKSANA centre.
Centre operations and facility support
- Opening and closing checks for the centre, depending on the assigned shift.
- Checking basic centre readiness, including lighting, air-conditioning, internet availability, meeting rooms, access control, pantry, housekeeping, and reception.
- Reporting issues relating to plumbing, electrical systems, HVAC, internet, furniture, access control, civil work, or general repairs.
- Coordinating access for technicians, service providers, and maintenance vendors.
- Following up with vendors and technicians until assigned work is completed.
- Assisting during emergency situations, power interruptions, water supply issues, access failures, or other operational disruptions.
Community Manager support
- Support the Community Manager across centre operations, client servicing, vendor coordination, tours, move-ins, and administrative tasks.
- Take charge of routine operational matters when the Community Manager is attending meetings, conducting tours, or working outside the centre.
- Keep the Community Manager informed of important issues, client concerns, pending tickets, visitor movements, and service gaps.
- Assist with client events, community activities, networking sessions, and centre engagement initiatives.
- Help capture photographs, client feedback, event updates, and centre developments for the central marketing team.
- Support sales visits by ensuring that the centre is properly prepared before a prospective client arrives.
- Assist in collecting basic prospect information and coordinating follow-ups where required.
- Be willing to take on additional responsibilities as the centre grows and the local team expands.
What we are looking for
- 1 to 4 years of experience in front office, coworking, hospitality, hotels, business centres, commercial buildings, facility management, or another service-led environment.
- Prior experience in reception, guest relations, administration, housekeeping supervision, client servicing, or centre operations.
- Strong verbal communication skills in English and Telugu.
- A professional appearance and a polite, confident, and service-oriented manner.
- Basic proficiency in MS Excel, email, WhatsApp, digital records, and office documentation.
- The ability to maintain trackers, registers, checklists, and operational records accurately.
- The ability to coordinate with clients, housekeeping teams, security staff, technicians, vendors, and building management.
- The ability to handle multiple small tasks without losing track of priorities.
- A hands-on approach and willingness to assist beyond a narrowly defined front desk role.
- A bachelor’s degree or diploma in hospitality, business administration, office management, tourism, or a related field.
- Candidates with experience in coworking spaces, hotels, serviced offices, hospitals, premium residential developments, or business centres will be preferred.
- Candidates who are open to taking on resident manager responsibilities will also be preferred.
