ABOUT THE ROLE
We are looking for a sharp, proactive, and tech-forward professional to serve as the first point of contact for our organization and a trusted right hand to the COO. This is not a conventional front-desk role — we want someone who brings an explorer's mindset to every task, actively leverages AI tools to work smarter, and handles operations and data with precision.
KEY RESPONSIBILITIES
Front Desk & Reception
• Manage front desk operations — greet visitors, handle calls, coordinate courier and mail.
• Maintain a professional, welcoming office environment at all times.
• Schedule and coordinate meetings, conference rooms, and visitor appointments.
Executive Support to COO
• Assist the COO in daily scheduling, task tracking, and follow-ups.
• Prepare presentations, reports, and briefing documents for internal and external meetings.
• Manage COO's calendar, travel itineraries, and communication priorities.
• Coordinate cross-department tasks and ensure timely closure of action items.
Data Management & Operations
• Handle accurate data entry, maintenance, and management across internal systems and spreadsheets.
• Organize, track, and report on operational data and KPIs as needed by leadership.
• Maintain confidentiality and integrity of all company data and records.
AI Tools & Process Innovation
• Use AI tools (ChatGPT, Claude, Gemini, Notion AI, etc.) to automate repetitive tasks and improve efficiency.
• Proactively research, evaluate, and adopt new tools that can streamline workflows.
• Assist teams in identifying and implementing AI-driven productivity improvements.
• Draft communications, summaries, and content using AI tools when applicable.

QUALIFICATIONS & SKILLS
Must Have
• Graduate or Postgraduate degree in any discipline.
• Hands-on experience with AI tools — at least conversational and practical.
• Proficiency in MS Office / Google Workspace (Excel, Sheets, Docs, Gmail, Calendar).
• Strong data entry skills with high attention to detail and accuracy.
• Excellent organisational and time-management abilities.
• Professional verbal and written communication skills.
Good to Have
• Prior experience in an executive assistant or front desk role.
• Knowledge of CRM tools or basic reporting dashboards.
