Role Overview
We are looking for a Front Desk Executive who will serve as the face of the center and the first point of contact for our clients. This role plays a critical part in ensuring seamless daily operations, delivering excellent client experiences, and maintaining efficient coordination across scheduling, payments, and reporting.
Key Responsibilities
1. Client Experience & Communication
Welcome clients and families with warmth and professionalism, ensuring a positive first impression
Provide accurate information on therapy services, schedules, and therapist availability
Maintain empathetic, clear, and proactive communication with clients
2. Scheduling & Coordination
Manage therapist calendars, appointments, and client bookings efficiently
Track therapist attendance and maintain up-to-date records
Update internal systems with client details and session information
3. Payments & Reporting
Collect and accurately record client payments
Generate and share consultation reports with families post sessions
Maintain organized financial records and share timely updates with management
4. Feedback & Relationship Management
Conduct post-session feedback calls to understand client experience
Build and maintain strong, long-term relationships with families
Address client concerns promptly and escalate when required
5. Administrative & Operational Support
Ensure front office decorum and smooth day-to-day functioning
Maintain client-facing documentation and records
Support the Center Manager and therapists with operational tasks
Desired Skills & Competencies
Strong communication and interpersonal skills (English required; local language preferred)
Excellent organizational and multitasking abilities
Proficiency in MS Office and scheduling/CRM tools
Customer-first approach with empathy, patience, and professionalism
High level of confidentiality and attention to detail
Qualifications & Experience
Graduate in any discipline (Hospitality/Administration background preferred)
0–2 years of experience in front desk, client servicing, or administrative roles
- Experience in healthcare, wellness, or child development settings will be an advantage
