About UsWe are a premier admissions consulting firm helping ambitious candidates gain entry to the world’s top MBA and undergraduate programs, including Stanford, Harvard, Columbia, MIT, Yale, and others.
We are now expanding into undergraduate admissions and are building the systems, pipelines, and infrastructure to support that growth.
The OpportunityWe are looking for a high-agency, systems-minded operator to work directly with the Founder and take full ownership of our sales operations and marketing automation across two lines of business: MBA admissions and undergraduate admissions.
This is a hands-on, high-impact Founder’s Office role.
You will be responsible for identifying underperformance across the funnel, diagnosing root causes across multiple systems, forming hypotheses, and executing improvements.
On the undergraduate side, much of the infrastructure is still being built — this role will be central to designing and scaling it from scratch.
The ideal candidate thinks like a detective and a builder: comfortable tracing a lead’s journey across tools, designing and testing follow-ups, and continuously refining systems based on data — with minimal hand-holding.
This role starts part-time, with significant scope to grow into a full-time position over the next 6–12 months.
What You’ll DoMBA Funnel — Diagnose, Optimize, Experiment- Own and deeply understand our marketing automation platform (Ortto, formerly Autopilot)
- Audit existing journeys and identify drop-offs and inefficiencies
- Design and run experiments across messaging, timing, channels, and flows
- Implement and test new channels (SMS, WhatsApp) where relevant
- Build and optimize pre-call nurturing sequences to improve conversion
- Evaluate and recommend tools, including AI-driven solutions
- Build reporting systems to track funnel health and conversion metrics
Undergraduate Pipeline — Build from Scratch- Design lead capture and nurturing systems around webinars and in-person events
- Ensure structured and accurate data capture across all touchpoints
- Build segmented follow-up strategies across channels (email, WhatsApp, SMS)
- Move quickly: launch → measure → iterate
- Develop scalable systems and playbooks for long-term growth
Systems & Tools- Own day-to-day operations of tools (Podio, Ortto, Appointlet, and related systems)
- Ensure seamless integration and data flow across systems
- Maintain data hygiene and automation reliability
- Document systems and processes clearly
- Proactively identify and implement tools to improve efficiency and performance
What We’re Looking ForRequired- Proven experience in sales operations, marketing automation, RevOps, or growth roles
- Hands-on experience with CRM and marketing automation platforms
- Ability to navigate and debug across multiple systems (CRM, analytics, automation, scheduling)
- Strong analytical thinking — comfortable forming hypotheses, testing, and iterating based on data
- Builder mindset — comfortable creating systems from scratch, not just maintaining them
- Highly self-directed and reliable in a remote environment
- Clear, concise communication
Preferred- Experience with multi-channel automation (SMS, WhatsApp, etc.)
- Background in consulting, growth, or performance marketing
- Familiarity with MBA or undergraduate admissions processes
- Experience evaluating or migrating tools, including AI-powered solutions
- Prior experience with service-based or professional services businesses
- Experience in top-tier consulting or high-performance environments preferred
- International exposure (lived, studied, or worked abroad) preferred
