About the role
The Founder's Office Associate works directly with the founder to run the operating system of the company. You will be in the room for most decisions and responsible for making sure those decisions actually get executed.
This is a generalist role. You will move between hiring, operations, vendor management, founder support, and special projects, sometimes on the same day.
What you will own
1. Help us build the team. Hiring is our biggest lever right now. You will run the process end-to-end so we hire well and fast.
- Source and screen candidates across all open roles
- Manage scheduling, candidate communication, and the hiring tracker
- Prep the founder for interviews and run debriefs after them
- Onboard new joiners - paperwork, access, first-week plans
2. Keep the company moving. Most early-stage companies die from small things slipping, not big things failing. You will make sure ours don't.
- Run the weekly and monthly operating reviews
- Track every commitment made in meetings until it is closed
- Surface delays and blockers before they become problems
- Drive adoption of our internal tools
3. Keep the facility running. Cosy is a real, physical operation. Vendors, paperwork, and admin are the difference between smooth weeks and chaotic ones.
- Coordinate with vendors across electrical, mechanical, supply chain, and facility services
- Own contracts, invoices, renewals, and compliance paperwork
- Be the first point of contact for routine operational issues
4. Multiply the founder
- Manage calendar, inbox triage, meeting prep, and travel
- Take notes in key meetings and convert them into clear actions, owners, and dates
- Draft internal updates, team communications, and external follow-ups
- Translate context from the founder to the team so good decisions can happen without him in the room
5. Run the projects nobody else will. Some work cuts across functions and ends up belonging to no one. It will belong to you.
- Lead pilot launches, internal rollouts, vendor consolidations, and process documentation
- Spend time at the facility - walking grow racks, sitting in on agronomy reviews, watching hardware assembly
What we are looking for
Required
- 1 to 3 years of experience in consulting, investment roles, or operating roles at a startup
- Strong written communication, you can take a messy meeting and write a sharper one-paragraph summary
- Operational discipline: you close loops, do not let things drift, and follow through without being chased
- Bias to action - you ship rough things on purpose; you prefer 70% on Monday over 100% in three weeks
- Ownership instinct - when you notice something is off, you fix it without being asked
- Comfort with ambiguity and shifting priorities
Nice to have
- Background or interest in hardware, or consumer products
- Prior experience at an early-stage startup
- Familiarity with Notion, Google Workspace, Slack etc.
How we work
Three principles for this role. Non-negotiable.
- Ownership. If you have noticed something is broken, it is yours until it is fixed or explicitly handed off.
- High standards. Your work should be sharper than what came before it. A meeting summary should be clearer than the meeting itself.
- Disagreement. Push back when you think we are wrong. Once a decision is made, commit fully. Someone who only nods is not a fit.
In return: direct access to the founder, honest feedback early, real work across functions, and a clear path to grow into Chief of Staff or Head of Operations as Cosy scales.
Who this role is not for
- Anyone looking for a pure executive assistant role
- Anyone looking for strategy work without execution
- Anyone looking for fully remote work
- Anyone primarily attracted by the title
