Role Description

Your job is to become his second brain — managing his calendar, inbox, follow-ups, travel, vendors, hiring, and personal admin end-to-end. This is a founder-side role, not a corporate EA role. It requires high trust, high ownership, excellent judgment, and the ability to represent him with zero hand-holding.


The founder currently works long hours across multiple businesses. Your success is measured by how much time you free up — the target is 35+ hours per week — by anticipating needs, closing loops, and running the operational backbone of his work and personal life.

Day-to-Day Responsibilities

  • Manage calendar across time zones — protect focus time, schedule intentionally, not just book meetings.
  • Triage inbox daily — flag urgent items, draft replies in his voice, handle routine threads directly.
  • Follow up with clients, contractors, and team members to close open loops.
  • Prepare pre-meeting briefs with context: who, what, last conversation, agenda, action items.
  • Coordinate with CA, banks, and vendors on GST filings, invoices, payments, and compliance.
  • Manage vendor relationships and subscriptions — domains, hosting, SaaS tools, renewals.
  • Support hiring — post JDs, screen candidates, schedule interviews, track pipeline.
  • Handle travel end-to-end — flights, hotels, visas, itineraries, ground transport.
  • Own personal admin — Manage household coordination (family, domestic help, deliveries), health (doctor appointments, prescriptions, records), food (orders, reservations, preferences), gifts & occasions (birthdays, anniversaries, festivals for family/clients/team), personal bills & subscriptions, shopping & errands, and personal documentation (IDs, passports, insurance).
  • Coordinate with family on household matters when needed.
  • Take on random projects and tasks as they come up.
  • Support sales/outreach efforts during low-task days — cold email follow-ups, negotiation threads, and inbox outreach across our businesses.


Work Schedule: Remote, full-time, 6 days/week. Working hours: 2 PM - 11 PM IST. Flexibility required for regular off-hours coordination during founder's travel (3-5 times per year). 9.5 hours daily, 6 days/week.


Requirements

  • 3+ years as an EA or PA, ideally with a founder or entrepreneur (not corporate).
  • Excellent written and spoken English (business professional level).
  • Fluent in Hindi for CA, bank, and vendor coordination.
  • Proactive mindset — you anticipate needs, you don't wait for instructions.
  • Resourceful — you figure things out without lengthy explanations.
  • Strong judgment — you know when to ask vs when to decide.
  • Discreet — you'll handle sensitive business, financial, and personal information.
  • Tech-savvy — Google Workspace, Notion, WhatsApp, ChatGPT/Claude, project management tools.
  • Self-starter who doesn't need hand-holding or daily check-ins.
  • Strong memory and context tracking — you remember what gets forgotten.
  • Reliable internet + backup power + own laptop + quiet space for calls.
  • Long-term commitment mindset.
  • Comfortable working fully remote with no daily check-ins.
  • Reflects professional, direct, no-fluff values in all communication.


Role Details

  • Type: Full-time, fully remote
  • Working Hours: 2 PM – 11 PM IST, with flexibility for occasional off-hours coordination when needed.
  • Probation: 3 months.
  • Bonuses: Performance bonus after 3 months, annual raise based on ownership and outcomes
  • Career Growth: Can grow into Operations Manager role over 12–24 months as business scales.
  • Start Date: Immediate
