Founder’s Office Executive / Executive Assistant to Founder

Manifest Hospitality is looking for a sharp, highly organised and execution-focused Founder’s Office Executive / Executive Assistant to Founder to work directly with the Founder across multiple hospitality brands and upcoming projects.
This is a key coordination and execution-tracking role for someone who can bring structure, discipline and follow-through to a fast-moving restaurant and hospitality business.
We are looking for someone who is not just an assistant, but a strong organiser, tracker and follow-up person — someone who can help convert discussions, ideas and decisions into clear action points and ensure they are followed through.
About the Role
The Founder is involved across multiple brands, departments and upcoming projects. This role will help manage daily priorities, track important tasks, coordinate with internal teams, follow up on pending work, prepare summaries and ensure nothing important gets missed.
This is not a marketing role.
This is not a creative role.
This is not a basic admin-only role.
This is a Founder’s Office, coordination and execution-support role.
The right person should be organised, proactive, discreet, disciplined and comfortable working in a fast-paced environment.

Key Responsibilities
1. Founder’s Daily Task Management
Prepare and manage the Founder’s daily task list.
Track urgent tasks, pending decisions, calls, meetings, follow-ups and deadlines.
Ensure important tasks are not missed, forgotten or delayed.
Carry forward incomplete tasks and update the Founder clearly on what is pending, delayed and completed.
Help the Founder prioritise what needs attention each day.

2. Follow-Up Across Departments
Coordinate with operations, kitchen, marketing, accounts, HR, purchase, maintenance and other departments on behalf of the Founder.
Follow up on assigned tasks, reports, deadlines, updates and pending decisions.
Ensure department heads and team members send required updates on time.
Escalate delays, gaps and red flags clearly.
The person should be comfortable politely but firmly chasing people for updates.

3. Meeting Notes & Action Points
Attend or listen to key meetings and calls where required.
Prepare clear meeting summaries with:
what was discussed
what was decided
who has to do what
deadline
pending decision
next review date
Share action points with the concerned people and track whether they are completed.

4. Project & Task Tracker Management
Maintain a clean master tracker for important tasks and projects.
Track each task by:
project / department
task description
owner
deadline
status
next action
priority
Update the tracker regularly and make sure it remains useful, current and accurate.

5. Daily Founder Update
Prepare a daily update for the Founder covering:
top priorities for the day
pending decisions from the Founder
completed tasks
delayed tasks
department-wise follow-ups
urgent red flags
next-day action points
The objective is to give the Founder one clear view of what needs attention.

6. Coordination With Key Team Members
Work closely with the Founder, senior operations team, marketing team, chefs, accounts, HR and other department heads.
Ensure communication is clear and nothing gets lost in WhatsApp, calls or verbal discussions.
Act as the bridge between the Founder’s instructions and actual execution.

7. Calendar, Calls & Admin Support
Help manage the Founder’s calls, meetings, reminders and important appointments.
Support meeting scheduling, travel coordination and basic admin where required.
Maintain confidentiality, professionalism and discretion at all times.
