We’re on the lookout for an Assistant Production Coordinator to join us on a Fixed Term Contract working within the Live Production Team. The main purpose of this role is to provide administrative support to the department in line with company policies and procedures.


Main Duties and Responsibilities:

  • To assist the Production Coordinator in maintaining and coordinating all staff and contractor requirements, including processing paperwork and updating contractor information on relevant database in a timely manner.
  • Ensure timely drafting and submission of all paperwork within company deadlines, including but not excluded to raising Purchase Orders as required, reviewing and matching invoices, produce timesheets and liaise with the financial department on recharging clients.
  • To assist the Production Coordinator with submitting and communicating travel plans, as well as assist on making travel arrangements for foreign contractors and organize travel for the Live Production department.
  • In conjunction with the Travel Department, coordinate Visa requirements within defined deadlines.
  • Act as a point of contact for contractors, resolving contractor queries on a timely manner utilizing the relevant method of communication. Screen telephone calls, take messages and respond to routine contractor enquiries.
  • Help the department with the paperwork needed to ensure new contractors are set up in a timely manner and all paperwork is provided.
  • Assist the Team with the drafting and distribution of production schedules, crewing lists, call sheets and other documents.


Knowledge & Skills

  • Good administrative and communication skills.
  • Ideally at least a years’ experience working within either a sports or TV production background.
  • Be able to demonstrable organization and problem-solving skills.
  • Ability to prioritize and work well under pressure, in an agile environment.
  • Advanced Microsoft Office skills.
  • Good level of numeracy and fast accurate word processing skills.
