JOB DESCRIPTION Finance Executive — Payroll Processing & HR Finance

ABOUT THE ROLE
We are looking for a detail-oriented and proactive Finance Executive to join our Finance & Accounts team. The ideal candidate will have hands-on experience in payroll processing and HR finance operations, a strong grasp of statutory compliance, and the ability to collaborate closely with the HR department to ensure accurate and timely financial transactions. KEY RESPONSIBILITIES
Payroll Processing
- Process monthly payroll for all employees accurately and on time, including salary computation, deductions, and reimbursements.
- Coordinate with the HR team to gather attendance, leave, and variable pay data for payroll inputs.
- Manage full-and-final settlement calculations for resigned or terminated employees.
- Ensure timely disbursement of salaries and resolve payroll discrepancies promptly.
- Maintain payroll records and generate pay slips using payroll software (e.g., GreytHR, Keka, ADP, or similar).
HR Finance & Statutory Compliance
- Compute and process statutory deductions — PF (EPF), ESI, Professional Tax, TDS (Form 16 / 12BB), and Labour Welfare Fund.
- Ensure timely filing of statutory returns (PF, ESI, PT) with relevant government portals.
- Manage employee reimbursement claims — medical, travel, and other allowances — in line with company policy.
- Coordinate investment declaration verification and tax computation for employees under the Income Tax Act.
- Liaise with HR on employee onboarding/offboarding for financial records and cost-centre updates.
Accounts & Reporting
- Post payroll journal entries in the accounting system (Tally / SAP / QuickBooks or similar ERP).
- Prepare monthly, quarterly, and annual payroll MIS reports for management review.
- Reconcile payroll accounts with the general ledger and bank statements.
- Support internal and external audits by providing payroll documentation and statutory records.
- Assist in preparing HR-related budgets, manpower cost analysis, and variance reports.
Coordination & Administration
- Act as a single point of contact between the Finance and HR departments for payroll and benefit-related queries.
- Maintain accurate and up-to-date employee master data in the payroll and ERP systems.
- Track employee loans, salary advances, and recovery schedules.
- Assist in implementing new payroll policies, compensation revisions, and pay-structure changes.
REQUIRED QUALIFICATIONS & SKILLS
Education: Bachelor's degree in Commerce (B.Com), Finance, or a related field. M.Com or MBA (Finance) is an added advantage.
Experience: Minimum 1 year of hands-on experience in payroll processing and HR finance. Exposure to statutory compliance (PF, ESI, PT, TDS) is mandatory.
Technical Skills:
- Proficiency in payroll software — GreytHR, Keka, ADP, Spine HR, or similar.
- Working knowledge of accounting software — Tally ERP, SAP, or QuickBooks.
- Strong command of Microsoft Excel (VLOOKUP, pivot tables, payroll reconciliation formulas).
- Familiarity with HRMS / ERP systems for employee data management.
Soft Skills:
- High attention to detail with a commitment to accuracy and data confidentiality.
- Strong analytical and problem-solving skills.
- Effective communication and coordination across departments.
- Ability to work under deadline pressure, especially around payroll cycles.
- Team player with a proactive and self-driven attitude.
PREFERRED / GOOD TO HAVE
- Experience with multi-location or multi-entity payroll processing.
- Knowledge of labour law amendments and HR compliance updates.
- Prior experience in a mid-to-large-sized organization with structured HR-Finance workflows.
- Exposure to payroll audits or external statutory inspections.
- Understanding of CTC structuring and compensation benchmarking.
