Position Summary:
The Billing Specialist plays a key role within the Finance Department, overseeing the end-to-end billing process while supporting the development of junior team members. This role is responsible for generating accurate invoices and debit/credit notes, ensuring timely delivery to customers, and maintaining compliance with internal controls and billing standards. In addition to hands-on billing responsibilities, the Billing Specialist provides guidance, process oversight, and continuous improvement initiatives across billing operations. The role partners closely with Accounts Receivable, Collections, and Sales, contributing to cash reporting, performance metrics, and strategic financial objectives set by Management.
Key Responsibilities:
- Timely and accurately prepare, review, and approve complex invoices, ensuring accuracy, completeness, and adherence to contractual terms
- Oversee timely invoicing cycles and monitor billing workflows to meet deadlines and service-level expectations
- Maintain organized and audit-ready billing documentation, ensuring compliance with internal policies and external requirements
- Serve as an escalation point for customer billing inquiries, resolving complex issues related to rates, discrepancies, and account statements
- Review and validate Customer Sales Agreements to ensure billing accuracy
- Monitor and manage price lists, invoice coding structures, and system configurations for accuracy and consistency
- Coordinate and approve customer-specific billing requirements, including consolidated invoicing, customized formats, and payment methods
- Review and authorize credit notes, ensuring proper justification and supporting documentation
- Collaborate with customers, Collections, and Sales teams to resolve discrepancies and reconcile debit and credit balances
- Lead efforts to document, standardize, and improve billing procedures, driving efficiency and accuracy
- Provide training, mentorship, and day-to-day guidance to junior billing staff, supporting their professional development
- Assist Management with reporting, analysis, and tracking of key billing and cash collection metrics
Minimum Qualifications:
- Bachelor’s deree in accounting, finance, or related discipline required
- Three to five years of billing experience
- Complete compliance requirements for background check, drug screening, and reference verification
Required Skills:
- Strong organizational and analytical skills with exceptional attention to detail and accuracy
- Advanced communication skills, with the ability to manage escalations and coordinate across multiple departments
- Proficiency in financial systems and standard business software, with the ability to troubleshoot and optimize processes
- Leadership capabilities, inclding mentoring, training, and supporting team development
- Ability to work on-site in an office environment
