Role Overview
The Facilities Manager (IFM) will be located in Noida/Delhi and will be responsible for the end-to-end management of all hard and soft facility services across one or more coworking centres. This role ensures that workspaces are operationally excellent, safe, compliant, and consistently deliver a premium member experience. The IFM acts as the single point of accountability for all facilities-related functions — from building infrastructure and vendor management to housekeeping, energy, and workplace compliance — in
alignment with the fast-paced, hospitality-driven standards of the coworking industry.
Key Accountabilities
Facility Operations & Maintenance
• Day-to-Day Operations
Oversee the smooth functioning of all building systems including HVAC, electrical, plumbing, fire
safety, elevators, and access control across coworking centres.
• Preventive & Corrective Maintenance
Plan and execute PPM (Planned Preventive Maintenance) schedules for all MEP and civil assets;
ensure minimal downtime and zero disruption to members.
• Snag & Defect Management
Maintain a live snag tracker; ensure swift resolution of all reported defects within defined SLA
timelines.
• Space Readiness
Ensure all workstations, private offices, meeting rooms, and common areas are operationally ready,
clean, and presentable at all times.
Housekeeping & Soft Services
• Housekeeping Standards
Manage and audit daily housekeeping operations to maintain the highest standards of cleanliness,
hygiene, and presentation across all zones.
• Pantry & Amenity Management
Oversee restocking of beverages, consumables, and member amenities; manage inventory and
wastage control.
• Pest Control & Hygiene
Ensure scheduled pest control treatments, deep cleaning cycles, and sanitation audits are carried
out regularly and documented.
Vendor & Contract Management
• Vendor Coordination
Manage AMC (Annual Maintenance Contract) vendors for all equipment and services; track SLAs
and escalate non-performance.
• Procurement Support
Raise purchase requisitions, obtain competitive quotes, and coordinate with the procurement team
for timely delivery of materials and services.
• Contractor Supervision
Supervise third-party contractors on-site; enforce permit-to-work systems, safety protocols, and
quality standards.
Health, Safety & Compliance
• Statutory Compliance
Ensure the centre remains compliant with all applicable local regulations including fire NOC, lift
certificates, electrical safety, and building bye-laws.
• EHS Implementation
Drive Environment, Health & Safety practices across the facility; conduct regular drills, toolbox talks,
and safety inspections.
• Incident Management
Report, investigate, and close all facility-related incidents; maintain an accurate incident log and
implement corrective actions.
Member Experience & Workplace Services
• Member-Facing Responsiveness
Act as the escalation point for all facility-related member complaints; ensure swift, professional
resolution with follow-up communication.
• Move-In / Move-Out Management
Coordinate the setup, handover, and retrieval of office spaces for members; conduct condition
audits at every transition.
• Event & Fit-Out Support
Provide facilities support for in-centre events, partitioning changes, branding installations, and minor
fit-outs.
Energy & Sustainability
• Energy Monitoring
Track electricity, water, and diesel consumption across the centre; identify and implement
energy-saving initiatives.
• Sustainability Practices
Support the organisation's sustainability goals by promoting waste segregation, reducing single-use
materials, and improving resource efficiency.
Team & Stakeholder Management
• On-Site Team Leadership
Lead, schedule, and performance-manage the in-house facilities team including technicians,
housekeeping staff, and security personnel.
• Cross-Functional Coordination
Collaborate closely with Community, IT, Design, and Finance teams to support centre operations
and member satisfaction goals.
• Reporting & Documentation
Maintain accurate records of maintenance logs, inspection reports, vendor performance scorecards,
and asset registers.
Performance Indicators
• PPM Compliance: 100% completion of planned preventive maintenance schedules
• Snag Resolution TAT: 95%+ snagging issues resolved within defined SLA
• Housekeeping Audit Score: Maintain a minimum score of 90% in monthly audits
• Member Complaint Resolution: All facility complaints closed within 4 working hours
• Statutory Compliance: Zero lapses in licences, NOCs, and regulatory certificates
• Energy Consumption: Meet monthly energy benchmarks; target year-on-year reduction
• Vendor SLA Adherence: 95%+ vendor performance against contracted SLAs
• Uptime of Critical Systems: 99%+ uptime for HVAC, power, internet infrastructure, and
access control
Candidate Specifications
The ideal IFM candidate brings:
• Bachelor's degree in Facility Management, Civil/Mechanical/Electrical Engineering, or a related
field; FM certification (CFM, IFMA, or equivalent) preferred
• 5–8 years of experience in integrated facilities management, with at least 2 years in a
coworking, hospitality, or high-footfall commercial environment
• Strong working knowledge of MEP systems, building automation, and maintenance best
practices
• Hands-on experience managing AMC vendors, contractor supervision, and permit-to-work
systems
• Familiarity with EHS regulations, fire safety norms, and statutory compliance requirements
• Proficiency in CMMS/helpdesk tools (e.g., Facilio, FixMyBuilding, or equivalent) and MS Office
• Excellent problem-solving skills with a bias for speed, quality, and member experience
• Strong interpersonal skills and ability to work in a collaborative, fast-moving workspace
environment
