Facility Executive – Customer Experience Centre & Sales Office (Soft Services & Maintenance)

Job Summary:
The Facility Executive will be responsible for managing soft services, housekeeping, and maintenance operations across the Customer Experience Centre (CEC) and Sales Office. The role ensures a clean, well-maintained, and premium environment that enhances customer experience while supporting seamless coordination between internal teams and external vendors.
Key Responsibilities:
1. Soft Services & Housekeeping Management
· Supervise housekeeping staff and ensure overall cleanliness of CEC and Sales Office
· Maintain high hygiene standards across reception, meeting rooms, sample flats, restrooms, and common areas
· Prepare and manage duty rosters, shift planning, and attendance of housekeeping staff
· Conduct regular inspections and ensure adherence to cleanliness standards
· Ensure availability of consumables such as tissues, sanitizers, refreshments, and pantry items
2. Team Management & Training
· Train housekeeping and support staff on grooming, hygiene, and service standards
· Monitor staff performance and provide regular feedback
· Ensure proper manpower planning and attendance management
· Maintain discipline and ensure adherence to company policies
3. Maintenance Coordination
· Coordinate with maintenance teams for electrical, plumbing, HVAC, and minor civil repairs
· Conduct routine inspections to ensure all equipment and facilities are functioning efficiently
· Raise, track, and close service requests within defined timelines
· Maintain AMC (Annual Maintenance Contract) records and ensure timely servicing
4. Vendor Management
· Coordinate with vendors for housekeeping, pest control, security, HVAC, and other services
· Monitor vendor performance and ensure SLA compliance
· Verify invoices, track payments, and maintain vendor documentation
· Ensure timely renewal of contracts and service agreements
5. Facility Upkeep & Customer Experience
· Ensure the overall ambience reflects a premium real estate brand experience
· Monitor lighting, fragrance, music, and presentation standards
· Ensure sample flats, display units, and branding elements are always customer-ready
· Support the sales team in maintaining a welcoming and professional environment
6. Inventory & Asset Management
· Manage inventory of cleaning supplies, pantry materials, and maintenance items
· Maintain asset registers for furniture, equipment, and appliances
· Conduct periodic stock audits and coordinate with the purchase team for replenishment
7. Cross-Functional Coordination
· Coordinate with Purchase, Sales, Projects, and Admin teams for smooth operations
· Support events, site visits, and customer walkthroughs at CEC and Sales Office
· Ensure readiness of facilities during launches, meetings, and client interactions
8. Administrative & Reporting
· Maintain logs for housekeeping, maintenance, and vendor activities
· Prepare daily/weekly/monthly reports on facility status
· Track complaints, breakdowns, and ensure timely resolution
· Maintain proper documentation and records for audits
9. Health, Safety & Compliance
· Ensure compliance with safety, hygiene, and facility standards
· Conduct routine checks for fire safety equipment and emergency exits
· Coordinate pest control, sanitization, and preventive maintenance activities
Required Skills & Competencies:
· Strong knowledge of housekeeping and facility management practices
· Basic understanding of electrical, plumbing, and HVAC coordination
· Good team management and manpower handling skills
· Strong vendor management and coordination abilities
· Excellent organizational and reporting skills
· Attention to detail, cleanliness, and aesthetics
· Ability to coordinate across departments for smooth workflow
