About the Role:
We are seeking a dynamic and resourceful Office / Facilities Admin Executive to manage the end-to-end operations of our EdTech startup’s 24/7 office environment.
In this fast-paced setup, the role goes beyond basic facilities management—it is about creating a safe, efficient, and collaborative workspace that supports round-the-clock business operations, high-growth teams, and frequent cross-functional activities.
Key Responsibilities
Office & Facility Operations (24/7 Environment)
- Ensure uninterrupted functioning of office facilities (workspace, internet, utilities, meeting rooms, cafeteria/pantry) across all shifts.
- Coordinate with housekeeping, security, and technical teams to maintain high workplace hygiene, security, and safety standards.
- Manage seating plans and space utilization to accommodate a rapidly expanding workforce.
- Oversee upkeep of access control, CCTV, biometric systems, and ensure operational compliance.
- Monitoring replenishment of office supplies (stationery and toiletry).
- Prepping the Studio for Ad- shoots. Escorting/Assistance to Actors and Technical team.
Vendor & Service Partner Management
Manage relationships and contracts with vendors including:
- Co-working space (housekeeping, security, AMC services)
- Catering, cafeteria, vending machine service providers.
- Visa consultants, travel management service providers.
- Logistics services (inward/outward for international and domestic services)
- Merchandise and other Ad-hoc requirement service providers
Employee Experience & Support
- Act as a POC (point of contact) for employees' facility related queries, ensuring quick resolution and high satisfaction across shifts.
- Support onboarding/offboarding processes: Biometric access to floors, ID card issuance, seating allocation, asset handover/recovery and access provisioning.
- Organize employee welfare initiatives such as workplace wellness and disciplinary activities.
- Assist in planning and executing office events, workshops, and training programs, ensuring smooth logistics and facilities support.
Compliance, Safety & Documentation
- Ensure compliance with statutory, safety, and local government norms, including fire safety, labour regulations, and workplace safety standards.
- Maintain accurate records of facility assets, access logs, and expense reports.
- Generate periodic reports for management on space utilization, CAPEX & OPEX (accruals and actuals), and facility efficiency.
- Support audits in coordination with IT, Finance and Legal Teams (sometimes externals)
Required Skills & Qualifications
- Bachelor’s degree in commerce OR Diploma in Facilities Management or equivalent.
- 2–4 years of experience in facilities operations OR Office Administration preferably in startups or Tech environments.
- Strong multitasking ability to handle round-the-clock operations with KAIZEN initiatives.
- Excellent communication and interpersonal skills to coordinate with employees, vendors, and management.
- Working knowledge of MS Office / Google Workspace; familiarity with facility management tools is an advantage.
- Flexibility to support night-shift and weekend operations when required.
- Language proficiency in English, Hindi and Kannada is mandate.
- Awareness of Government offices (Labour, Safety, E-Waste Management) and handling legal documentation is a plus.
