Role Description
The Export-Import Documentation Executive is responsible for preparing, managing, and verifying all documentation related to international shipments. The role ensures compliance with regulatory requirements, smooth coordination with logistics partners, and timely processing of export/import transactions.
Key Responsibilities
Prepare and verify export and import documents such as:
- Commercial Invoice
- Packing List
- Bill of Lading / Airway Bill
- Certificate of Origin
- Insurance documents
- LC (Letter of Credit) documentation
Coordinate with:
- Freight forwarders
- CHA (Custom House Agents)
- Shipping lines
- Banks and financial institutions
Handle documentation for DGFT, customs clearance, and other regulatory bodies
Ensure compliance with:
- International trade regulations
- Export-import policies
- Country-specific documentation requirements
Track shipment status and maintain proper records of all transactions
Handle LC, advance payment, and export incentives documentation (like MEIS/RODTEP, if applicable)
Prepare reports related to shipments, pending documents, and dispatch status
- Communicate with international clients for documentation and shipment updates
Technical Skills
- Knowledge of export/import procedures and documentation
- Familiarity with DGFT portal, ICEGATE, and customs processes
- Understanding of Letter of Credit (LC) and banking procedures
- Proficiency in MS Excel, Word, and ERP systems
- Knowledge of international shipping terms (Incoterms)
- Ability to handle multiple shipments simultaneously
- Basic understanding of taxation (GST in exports/imports)
