Role Description This is a full-time, on-site Export Documentation Executive role based in Kochi. The Export Documentation Executive will prepare, verify, and manage all export-related documents, including invoices, packing lists, certificates of origin, shipping instructions, and bank documentation as per LC or contract terms. The role involves coordinating with internal teams, shipping lines, freight forwarders, customs brokers, and customers to ensure timely and accurate documentation for shipments. The person in this role will track shipment status, update records, and maintain compliance with relevant export regulations, trade policies, and customer requirements. Responsibilities also include data entry in ERP or documentation systems, maintaining an organized filing system (physical and digital), and supporting audits or inspections related to export operations. The executive will respond to documentation queries, resolve discrepancies, and contribute to continuous improvement of export processes and workflows.
Qualifications
- Strong knowledge of export documentation processes, including invoices, packing lists, certificates of origin, LC documentation, and shipping instructions.
- Familiarity with international trade terms (Incoterms), basic export regulations, customs procedures, and banking requirements for export transactions.
- Proficiency in MS Office (especially Excel and Word) and comfort working with ERP or documentation management systems.
- Excellent attention to detail, accuracy in data entry, and ability to review documents for compliance and completeness.
- Effective written and verbal communication skills for coordinating with shipping lines, freight forwarders, customers, and internal stakeholders.
- Strong organizational and time-management abilities, with capacity to handle multiple shipments and deadlines simultaneously.
- Ability to work collaboratively in an operations-focused environment and take ownership of assigned documentation tasks.
- Prior experience in export documentation, logistics, or international trade (preferably in agro-commodities or related sectors) is an advantage.
- Undergraduate degree or diploma in Commerce, Business, Logistics, Supply Chain, or a related field is preferred.
