Position: Executive Team Manager
Canadian Limos Inc. is a growing luxury chauffeur and executive transportation company serving clients across major Canadian cities including Toronto, Ottawa, Montreal, Calgary, and Vancouver. As our internal team continues to expand across dispatch, marketing, customer service, finance, partnerships, and administration, we are seeking an Executive Team Manager to work directly with leadership and help ensure smooth day-to-day coordination across departments.
This role is ideal for someone highly organized, proactive, detail-oriented, and capable of managing communication, accountability, and follow-through across multiple teams in a fast-moving startup environment. This is not a traditional assistant role. The position requires leadership support, team coordination, internal follow-ups, problem-solving, and operational oversight across departments.
Work Schedule
Aligned with Toronto business hours
9 AM to 6 PM EST – Monday to Saturday
(Including scheduled break periods)
Key Responsibilities
* Work directly with the company leadership team on daily coordination and execution
* Monitor ongoing activities across departments and ensure tasks are progressing properly
* Follow up with team members regarding deadlines, deliverables, and pending items
* Ensure requests, issues, and updates are communicated in a clear and organized manner
* Investigate internal concerns, delays, workflow gaps, or communication issues and help resolve them
* Organize and summarize information before escalating matters to leadership
* Maintain structured task tracking through Asana and internal systems
* Help improve accountability, workflow discipline, and internal coordination
* Coordinate meetings, agendas, follow-ups, and action items
* Ensure departments are aligned and operating efficiently together
* Assist leadership in streamlining approvals, reporting, and daily management
* Help document and organize internal processes and SOPs over time
* Identify inefficiencies and suggest practical improvements

* Experience with task management tools such as Asana, ClickUp, Trello, or similar platforms is preferred
* Prior experience in team coordination, project coordination, operations support, executive coordination, or management roles is preferred
