Job Description – Shipping Executive
Department: Logistics / Supply Chain
Reporting To: Plant Manager / Logistics Head
Experience: Minimum 2 years
Industry Preference: Food & Beverage / FMCG
Job Purpose
The Shipping Executive is responsible for managing day-to-day dispatch and logistics operations, ensuring accurate inventory management, timely order execution, proper documentation, vehicle coordination, and adherence to quality requirements during dispatch activities.
Key Responsibilities
- Maintain daily SKU-wise finished goods inventory records.
- Monitor inward and outward stock movements.
- Prepare and verify GRNs and dispatch documentation.
- Coordinate with transporters for timely vehicle placement.
- Punch customer orders accurately in the system.
- Ensure quality compliance during dispatch and loading activities.
- Supervise loading manpower and allocate resources according to workload.
- Maintain inventory accuracy and conduct stock reconciliation.
- Follow FIFO/FEFO practices and food safety requirements.
- Submit daily inventory, dispatch, and logistics reports to the reporting manager.
- Coordinate with production, quality, stores, and logistics teams.
Inventory Management
- Maintain daily SKU-wise finished goods inventory records.
- Monitor stock availability and ensure inventory accuracy.
- Perform regular stock reconciliation and report inventory variances.
- Ensure proper documentation and traceability of stocks.
Inward & Outward Operations
- Manage all inward and outward material movements.
- Ensure timely preparation and verification of dispatch documents.
- Coordinate loading and unloading activities efficiently.
- Maintain proper records of stock receipts and dispatches.
Documentation & GRN Management
- Prepare and verify Goods Receipt Notes (GRNs).
- Maintain dispatch records, invoices, challans, and transport documents.
- Ensure all documentation is completed accurately and on time.
Order Processing
- Receive and process customer dispatch orders.
- Punch orders into the ERP/system accurately.
- Coordinate with planning and sales teams for timely dispatch execution.
Transportation Coordination
- Coordinate with transporters for vehicle placement as per dispatch requirements.
- Ensure vehicle availability to avoid dispatch delays.
- Monitor vehicle loading schedules and dispatch timelines.
Quality & Food Safety Compliance
- Ensure quality requirements are followed during loading and dispatch activities.
- Verify product condition, packaging integrity, and dispatch specifications.
- Follow GMP, food safety, and hygiene requirements during warehouse and dispatch operations.
- Ensure FIFO/FEFO practices are implemented.
Manpower Management
- Allocate manpower for loading and unloading activities based on workload.
- Supervise contract labor and loading teams.
- Ensure safe working practices during material handling activities.
Reporting & Communication
- Submit daily dispatch, inventory, and logistics reports to the reporting manager.
- Report operational issues, shortages, damages, or delays promptly.
- Coordinate with production, quality, stores, and transport teams for smooth operations.
Required Qualifications
Qualifications
Bachelor’s Degree or Diploma in Logistics, Supply Chain, Commerce, or related field.
Experience
Minimum 4-5 years of experience in shipping, warehouse, dispatch, or logistics operations. Food and Beverage industry experience is preferred.
