Position Overview
We are seeking a highly organized, detail-oriented, and proactive Personal Assistant to support a Chief Advisor managing multiple companies across different countries and business sectors. The role requires exceptional coordination skills, strong business communication, and the ability to manage complex schedules, travel plans, and executive priorities in a fast-paced global environment.
The ideal candidate should demonstrate high professionalism, confidentiality, process orientation, and the ability to anticipate requirements before they arise.
Key Responsibilities
Executive & Administrative Support
- Manage the Chief Advisor’s calendar, meetings, appointments, and priorities across multiple time zones.
- Coordinate internal and external meetings, conferences, presentations, and business engagements.
- Prepare meeting agendas, MOMs (Minutes of Meetings), action trackers, and follow-ups.
- Maintain organized records, documentation, reports, and confidential files.
Travel & Logistics Management
- Handle extensive domestic and international travel arrangements including flights, hotels, visas, itineraries, transportation, and expense coordination.
- Ensure seamless travel planning with contingency management and high attention to detail.
- Coordinate schedules across multiple countries and business entities.
Communication Management
- Draft and manage professional emails, presentations, reports, and business correspondence.
- Act as a communication bridge between stakeholders, clients, leadership teams, and external partners.
- Ensure prompt, professional, and effective communication in English across all channels.
Reporting & Presentation Support
- Prepare high-quality presentations and business reports using PowerPoint and Excel.
- Analyze and compile data, trackers, dashboards, and summaries for decision-making.
- Support strategic projects and follow-up mechanisms across multiple businesses.
Process & Coordination
- Develop and maintain structured systems, trackers, SOPs, and workflows.
- Coordinate with teams across geographies to ensure timely execution of priorities.
- Monitor deadlines, commitments, and deliverables proactively.
