Job Description: Executive / Senior Executive – Commercial & Procurement
Location: Gurgaon, India
Experience: 2-3 years (experience with startups or mid-size companies preferred) Qualification: Graduate
Role Overview
As an Executive/Senior Executive in the Commercial & Procurement department, you will manage procurement processes and commercial operations for our esports and cultural projects. You will be responsible for end-to-end vendor management, budget tracking, and ensuring that all project requirements are met within defined timelines and financial constraints.
Key Responsibilities
Procurement & Vendor Management
• Sourcing & Evaluation: Research and evaluate prospective suppliers to build a robust vendor base.
• Negotiation: Conduct vendor negotiations to secure optimal terms and pricing that align with project budgets.
• Relationship Management: Manage ongoing relationships with active and potential vendors, including regular catchups to maintain healthy partnerships.
• PO & Invoice Processing: Create, review, and release Purchase Orders (POs) within defined Turnaround Times (TAT) to complete the procurement lifecycle.
• Contract Management: Extensively work on third-party contracts, including service level agreements, legal compliance, and re-negotiating/re-executing existing contracts when necessary.
Commercials & Budget Control
• Budget Tracking: Maintain detailed budget sheets for assigned projects and strictly track actual expenditures.
• Cost Control: Monitor budgets closely and escalate any instances where costs exceed approved limits.
• Comparison Analysis: Prepare and maintain detailed commercial comparison sheets to facilitate informed decision-making regarding pricing.
• Financial Reporting: Prepare budget variance reports with detailed reasoning and submit quarterly savings reports.
Project Coordination & Operations
• Internal Coordination: Coordinate with project managers and department heads to identify needs and provide daily updates on ongoing projects.
• Indent Management: Review open indents weekly and take necessary actions to close them promptly.
• Project Closure: Close and submit project/task reports and actuals to heads within 15 days of project completion.
• Rate Card Maintenance: Maintain up-to-date rate cards for common elements used across various tasks and projects.
Skills & Requirements
• Experience: 2–3 years of work experience in project management or procurement.
• Negotiation: Strong negotiation skills with the ability to close deals with optimal terms.
• Communication: Excellent interpersonal skills and the ability to work effectively within a team.
• Problem Solving: Ability to solve problems creatively and effectively in a fast-paced environment.
• Technical Proficiency: Skilled in creating POs, invoices, and managing complex data in budget/comparison sheets
