Job Description:
We are seeking a highly organized, detail-oriented, and proactive Executive Associate to support the Academic Dean in managing daily academic and administrative operations. This role requires strong coordination abilities, excellent communication skills, and the capacity to work effectively with faculty, students, and internal teams.
Key Responsibilities
1. Calendar & Scheduling
· Manage and maintain the Dean’s calendar, appointments, and travel plans.
· Prioritize and schedule internal and external meetings.
2. Meeting Coordination
· Organize meetings, prepare agendas, presentations, and relevant documents.
· Record minutes, share follow-ups, and track action items.
· Ensure coordination meetings between direct team members of the Dean.
3. Communication & Stakeholder Management
· Serve as the primary point of contact for academic communication.
· Draft and manage professional emails, notices, and announcements.
· Liaise effectively between the Dean’s office, faculty, students, and departments.
· Translate the Dean’s office content for industry communication and external documents.
4. Event & Academic Coordination
· Support planning and execution of academic events, workshops, reviews, and examinations.
5. Administrative & Documentation Support
· Maintain academic records, files, and official documentation.
· Research and prepare reports, data summaries, and academic dashboards.
· Ensure timely follow-up and completion of administrative tasks.
· Active collection and collation of monthly and yearly reports.
· Create SOPs and ensure follow-up on their execution.
· Conduct research on best practices in educational environments.
6. Faculty & Student Support
· Coordinate faculty timetables, availability, and academic planning.
· Address and escalate student academic queries when required.
7. Academic Analysis & Reporting
· Support analysis of academic results, performance data, and admissions trends.
Preferred Qualifications & Skills
· Bachelor’s degree in any discipline; Master’s degree preferred.
· 1–3 years of experience in academic administration or executive associate roles.
· Excellent written and verbal communication skills with a professional tone.
· Proficiency in MS Office and Google Workspace.
· Ability to maintain confidentiality and work efficiently in a fast-paced academic environment.
· Strong analytical, organizational, and time-management skills.
