About Maple Biotech
Maple Biotech manufactures and repacks pharmaceutical excipients microcrystalline cellulose (MCC) is the core line, alongside croscarmellose sodium, pregelatinized starch, lactose monohydrate, and stearates from its plant in Bhosari, Pune. The company sells domestically and exports to markets including Russia, Vietnam, and Brazil, and is executing a multi-year plan to scale from roughly ₹35 cr to ₹1,000 cr in revenue through a combination of plant fill, regulatory upgrades (EXCiPACT GDP, DMF/CEP filings), and expansion of its product-line portfolio
Why this role exists
The Director runs a fast-scaling, founder-led business and currently absorbs a high volume of email, vendor coordination, scheduling, travel, and document review directly. The stated operating mantra is “delegate everything.” This role exists to take ownership of that operational load inbox and calendar, vendor and consultant coordination, travel and exhibition logistics, and cross-functional follow-through with QC, QA, Production, and Finance so the Director's time is protected for decisions only he can make.
What you'll own
- Inbox & task management Triage roughly 100 emails a day into action items, delegations, and drafts; maintain a running task list in TickTick and chase closure on open items.
- Calendar Own the Director's calendar end-to-end scheduling, prioritizing, rescheduling, and prepping him with the right context (and the right document) before each meeting.
- Vendor & consultant coordination Track open items with vendors and consultants (e.g., capex evaluations like the Ace Industries vacuum transfer system and blender purchase, regulatory counsel, lab/accreditation bodies) until closed.
- Travel & exhibitions Book and manage domestic and international travel (flights, Vande Bharat rail options, hotels, visas), and run logistics for exhibitions such as CPHI India, CPHI Milan, and CPHI & PMEC China.
- Document & data handling Keep Google Sheets trackers (sales, planning, sourcing) current; do first-pass reads of quotations, lab reports, and supplier documents and flag what needs the Director's attention.
- Cross-functional liaison Act as a point of contact between the Director and department heads in QC, QA, Production, and Finance for status updates, follow-ups, and meeting prep without needing every thread routed through him.
- Discretion Handle sensitive business and personal information (contracts, financials, legal correspondence, family logistics) with strict confidentiality and sound judgment about what is shared and with whom.
What success looks like in 90 days
- The Director's inbox is triaged daily with a clear, trusted system nothing important sits unread.
- Calendar conflicts and last-minute scrambles are rare; meeting prep materials are ready ahead of time.
- At least two recurring coordination tasks (e.g., vendor follow-ups, exhibition logistics) have moved fully off the Director's plate.
- Department heads know to route routine updates through you rather than directly to the Director.
What we're looking for
- 3–7 years of experience as an Executive Assistant, Chief of Staff, or similar role supporting a founder or senior executive manufacturing, pharma, or export-business experience is a strong plus.
- Fluent written and spoken English; working Hindi/Marathi is an advantage given supplier and plant-floor interactions.
- Comfortable working across Google Workspace (Sheets, Gmail, Drive), task tools (TickTick or equivalent), and willing to learn whatever the Director's stack requires.
- A bias to action reads a messy, unframed document or forwarded thread and knows what to do with it, rather than waiting for instructions.
- High discretion and integrity; trustworthy with confidential financial, legal, and personal information.
- Organized under pressure able to run multiple open threads (a capex decision, a visa application, a supplier LOA) at once without dropping any.
Nice to have
- Prior exposure to a manufacturing or export-driven SME, or to pharma/chemical industry documentation (DMF/CEP filings, quality certifications).
- Experience planning trade-show or exhibition logistics.
- Basic comfort reading financial trackers or sales MIS well enough to flag anomalies before escalating.
