Role Overview
The Executive Assistant to Leadership plays a critical role in enabling senior leadership to operate
effectively across multiple initiatives, organizations, and time zones. This is a high-trust,
high-responsibility role designed for someone who combines strong organizational capability with
excellent presence of mind, discretion, and proactive thinking.
The role requires close partnership with leadership to manage complex schedules, coordinate
priorities, and ensure continuity across meetings, decisions, and follow-through actions. You will
serve as a key operational anchor, helping leadership maintain clarity, momentum, and focus in a
fast-moving environment.
This is not a purely administrative role. It requires sound judgment, strong communication ability,
intellectual curiosity, and the capacity to anticipate needs — often going beyond routine expectations

Key Responsibilities
1. Executive Scheduling & Coordination :
● Manage complex calendars and schedules across multiple time zones, ensuring effective
prioritization and sequencing of commitments.
● Coordinate internal and external meetings, travel plans, and leadership engagements.
● Maintain oversight of leadership priorities and proactively resolve scheduling conflicts.
2. Meeting Support & Operational Follow-Through :
● Attend meetings alongside leadership when required to capture key discussions, decisions,
and action points.
● Track follow-ups and ensure timely execution across stakeholders and initiatives.
● Serve as a coordination point between leadership and internal teams or external partners.
● Maintain continuity across projects and conversations to ensure momentum.
3. Communication & Research Support :
● Prepare agendas, briefing notes, and relevant background information ahead of meetings
through structured research and synthesis.
● Conduct research and gather insights that support leadership decision-making and strategic
preparation.
● Draft clear, professional communications, summaries, and follow-up correspondence when
required.
4. Executive Office Support & Confidentiality :
● Handle sensitive information with strict confidentiality and professionalism.
● Exercise sound judgment and prudence in handling sensitive or evolving situations.
● Provide proactive support that allows leadership to focus on strategic priorities.
Leadership Office Expectations
This role sits within the Leadership Office and requires a high degree of trust, discretion, and
ownership. The successful candidate will act as a dependable extension of leadership — anticipating
needs, maintaining situational awareness, and ensuring execution follows intent.
