Role Overview
We are looking for a highly organized, proactive, and presentable Executive Assistant to support the Head of Media Production in managing day-to-day operations, production coordination, scheduling, communication, and executive support activities.
The ideal candidate should possess strong communication skills, multitasking ability, professionalism, and an understanding of digital media workflows and content production environments.
Preference may be given to candidates with prior experience in media, production houses, digital content agencies, podcasts, or corporate communication environments.
Key ResponsibilitiesExecutive Support
- Manage calendar, meetings, appointments, and travel schedules
- Coordinate internal and external communication
- Handle confidential documents and executive correspondence
- Prepare reports, presentations, and meeting notes
Media & Production Coordination
- Assist in podcast and shoot scheduling
- Coordinate with production teams, vendors, studios, and guests
- Track production timelines and deliverables
- Manage logistics for shoots, interviews, and events
Communication & Coordination
- Liaise with clients, agencies, sponsors, and partners
- Manage WhatsApp, email, and follow-up communication
- Ensure smooth coordination between creative and operational teams
Administrative Responsibilities
- Vendor coordination
- Invoice and documentation tracking
- Maintaining records and databases
- Event and meeting arrangements

✔ Proficiency in MS Office, Google Workspace, and digital tools

Preferred Background
- 1–5 years of experience as Executive Assistant / Production Coordinator / Admin Executive
- Experience in media, digital content, PR, podcasting, or the communication industry preferred
- Graduate in Mass Communication, Business Administration, Media, or related fields preferred
