Executive Assistant -Vice President Renaissance Retail .

Role Overview
The Executive Assistant , is responsible for providing comprehensive administrative, personal, and coordination support across professional and personal commitments. The role requires a high degree of discretion, organizational ability, and proactive communication.
The EA acts as the central coordinator between Founder, internal teams, external collaborators, stylists, and household staff to ensure smooth execution of schedules, engagements, travel, wardrobe planning, and domestic operations.
Executive Scheduling & Calendar Management
● Manage and maintain professional and personal calendar.
● Coordinate meetings with internal teams, business partners, stylists, media, and external collaborators.
● Ensure efficient scheduling with adequate preparation time between engagements.
● Anticipate scheduling conflicts and resolve them proactively.
Communication & Coordination
● Manage incoming communication where required and coordinate responses.
● Draft and send professional correspondence on behalf when instructed.
● Serve as a coordination point between Founder and internal teams across businesses including other P.A’s in London and New York.
● Maintain strict confidentiality when handling sensitive information.
Travel & Logistics
● Coordinate domestic and international travel arrangements including flights, accommodation, and transportation.
● Prepare detailed itineraries including meetings, addresses, and logistics.
● Coordinate reservations, transfers, and travel documentation where required.
● Ensure smooth execution of travel schedules.
Wardrobe & Styling Coordination
● Oversee wardrobe management including organization, tracking, and upkeep with home staff.
● Coordinate with domestic staff responsible for wardrobe care and garment preparation.
● Liaise with styling teams for events, photoshoots, public appearances, and brand engagements.
● Coordinate fittings, deliveries, garment returns, and wardrobe preparation for events and travel.
Household Staff Management & HR Coordination
● Coordinate with domestic staff to ensure smooth household operations.
● Monitor staff schedules, duties, and communication where required.
● Facilitate onboarding, documentation, and HR-related coordination for domestic staff.
● Ensure tasks delegated to household staff are clearly communicated and executed.
● Run payroll for domestic staff
● Ensure upkeep and regular maintenance of the house is being carried out.
Personal Administration
● Coordinate personal appointments, reservations, and scheduling.
● Assist with family logistics and personal commitments when required.
● Maintain organized records of important documents and reminders.
Event & Engagement Support
● Coordinate logistics for personal and brand events, meetings, and engagements.
● Assist with scheduling and preparation for appearances, meetings, and collaborations.
● Ensure required materials, wardrobe, and logistics are arranged in advance.

Who We’re Looking For
● 5–10 years of experience as an EA / Personal Assistant to senior leadership
● Experience working with founders, HNIs, or in fast-paced environments preferred
● Exceptional organizational and time-management skills
● Strong communication and interpersonal abilities
● High level of discretion, integrity, and professionalism
● Ability to multitask, prioritize, and stay calm under pressure
● Detail-oriented with a problem-solving mindset
● Flexible with working hours when required
