We're looking for a sharp, proactive Executive Assistant to work directly with our Founder. This is a high-trust, high-impact role — you'll be the operating layer that keeps the Founder effective, organized, and focused on what moves the needle. You'll handle everything from complex calendar orchestration and travel logistics to research, communications, and special projects.
What You'll Do
- Own the Founder's calendar — prioritize ruthlessly, protect deep work time, and ensure every meeting has a clear purpose
- Manage all correspondence: triage inboxes, draft responses, and ensure nothing falls through the cracks
- Coordinate domestic and international travel, including flights, hotels, visas, and detailed itineraries
- Prepare materials for meetings, board sessions, and investor conversations (decks, briefings, agendas)
- Track action items from meetings and follow up with internal and external stakeholders
- Handle personal and professional tasks as needed — this role blurs lines by design
- Anticipate needs before they arise; spot problems early and solve them quietly
- Manage relationships with investors, advisors, partners, and key customers on the Founder's behalf
- Lead and execute ad hoc projects with minimal direction
Time & calendar
- Own the Founder's calendar end-to-end — prioritize ruthlessly
- Protect deep work time; kill meetings that don't need to exist
- Manage all scheduling across time zones with zero errors
- Prepare daily and weekly briefings so every day starts sharp
Comms & correspondence
- Triage inbox; draft and send responses at the Founder's voice
- Manage investor, advisor, and partner relationships on their behalf
- Own follow-ups — nothing falls through the cracks
- Prepare talking points, briefing docs, and pre-read materials
Projects & output
- Prepare decks for board, investor, and all-hands meetings
- Lead ad hoc projects from brief to completion with minimal oversight
- Track action items and ensure cross-functional follow-through
- Handle personal tasks and sensitive errands with total discretion
Travel & logistics
- Book and manage all domestic and international travel
- Build detailed itineraries; anticipate every friction point
- Handle visas, car transfers, accommodations, and expense reports
- Be reachable when things go sideways mid-trip
Who You Are
- 3–6 years of experience supporting a C-suite executive, founder, or senior leader in a fast-paced environment
- Exceptionally organized with a near-zero error rate on details
- A strong writer — clear, concise, and able to match the Founder's voice
- Comfortable with ambiguity; you don't wait to be told what to do
- Discreet with sensitive information — you treat confidentiality as non-negotiable
- Calm under pressure; you thrive when things move fast
- Proficient with Google Workspace, Slack, Notion, and calendar/travel tools; quick to learn new software
