ROLE OVERVIEW
The Executive Assistant (EA) to C-Suite Executives is a senior-level support professional responsible for providing comprehensive administrative, operational, and regulatory assistance to one or more C-Suite leaders (CEO, CFO, COO, CMO, etc.). This role goes beyond traditional EA functions — it serves as the operational backbone of the executive office, ensuring seamless day-to-day operations while proactively managing statutory and government compliance obligations of the company. The ideal candidate combines exceptional organizational skills with a thorough understanding of corporate legal and regulatory frameworks, including entity registrations, licensing renewals, and government filings.
KEY RESPONSIBILITIES
A. Executive & Administrative Support
• Manage complex, dynamic calendars for C-Suite executives — scheduling meetings, board sessions,
investor calls, and internal reviews.
• Coordinate domestic and international travel including flights, hotels, visas, travel advisories, and
detailed itineraries.
• Screen, prioritize, and draft correspondence (emails, memos, letters) on behalf of executives.
• Prepare, proofread, and format high-quality presentations, reports, and briefing documents.
• Take accurate minutes of meetings, track action items, and follow up with respective stakeholders on
deadlines.
• Liaise confidentially between the executive and internal teams, board members, clients, and external
partners.
• Manage expense reports, reimbursements, and budget tracking for the executive office.
• Organize and maintain secure physical and digital filing systems including contracts, board
resolutions, and legal documents.
• Coordinate logistics for board meetings, AGMs, leadership offsites, and corporate events.
B. Government Registrations & Statutory Compliance
• Own and manage the company's compliance calendar — tracking all due dates for registrations,
renewals, filings, and statutory obligations.

• Liaise with government authorities, regulatory bodies, consultants, CA/CS firms, and law firms on
behalf of the executive.
• Prepare and compile documentation required for applications, renewals, and regulatory inspections.
• Maintain a centralized, up-to-date register of all licenses, registrations, and certificates with expiry
alerts.
• Ensure timely payment of government fees, penalties, and statutory dues.
• Monitor amendments to applicable laws and regulations; brief executives on material changes.
C. Projects & Operations Coordination
• Support the executive in managing cross-functional strategic projects and special initiatives.
• Coordinate with finance, legal, HR, and operations teams for seamless information flow.
• Research and compile data, market intelligence, and benchmarking reports as required.
• Assist in preparing materials for investor relations, media interactions, and stakeholder
communications.
QUALIFICATIONS & EDUCATION
• Bachelor's degree in Business Administration, Commerce, Law, or a related field (mandatory).
• Master's degree (MBA) or Post Graduate Diploma in Business Management preferred.
• Certification in Secretarial Practice / Company Law (e.g., CS Foundation / Executive) is a strong
advantage.
• Relevant courses in Compliance, Labour Laws, Taxation, or Regulatory Affairs are desirable.
