About the Role
We are looking for a highly organised, proactive and confident Executive Assistant to the CEO to work closely with the CEO across multiple businesses.
The CEO is involved in managing 2 to 3 companies across different business areas, and this role will be responsible for helping coordinate day-to-day activities across these businesses.
This is not a traditional administrative PA role. We are looking for someone who can act as a strong point of coordination between the CEO, internal teams and UK-based clients.
The ideal candidate must have excellent spoken and written UK English, strong communication skills, excellent follow-up ability and the confidence to participate in client conversations, understand requirements and ensure that the relevant team takes the required action.
Key Responsibilities
CEO Support & Calendar Management
- Manage the CEO's daily calendar, meetings and appointments across multiple businesses.
- Schedule internal and external meetings and ensure the CEO is properly briefed beforehand.
- Coordinate meetings across different teams, time zones and companies.
- Maintain a clear overview of upcoming priorities, deadlines and commitments.
- Help the CEO stay organised and ensure important tasks and follow-ups are not missed.
Client Communication & Coordination
- Join client calls with the CEO or independently when required.
- Communicate confidently and professionally with UK-based clients.
- Understand client requirements, discussions, concerns and action points.
- Convert client discussions into clear tasks and communicate them to the relevant internal teams.
- Follow up with clients where required and provide updates on ongoing work.
- Maintain a professional and consistent standard of communication with clients.
Cross-Company Team Coordination
- Coordinate with teams across the different companies managed by the CEO.
- Act as a central point of communication between the CEO and different departments.
- Follow up with team members on assigned tasks, deadlines and deliverables.
- Collect regular updates from different teams and provide concise summaries to the CEO.
- Identify delays, blockers or pending actions and escalate them to the CEO when necessary.
- Ensure that agreed actions from meetings are actually completed.
Daily Operations & Follow-ups
- Maintain daily task lists and action trackers.
- Conduct regular follow-ups with team members and ensure deadlines are being met.
- Track pending tasks, client requirements, projects and commitments.
- Prepare daily or weekly status updates for the CEO.
- Maintain meeting notes, action points and follow-up lists.
- Ensure important emails, messages and requests are followed through to completion.
- Support the CEO with general operational and administrative activities as required.
Client Calls & Requirement Understanding
A key part of this role will be the ability to listen, understand and communicate accurately.
You may be required to:
- Attend client meetings and take detailed notes.
- Understand what the client is asking for, even when requirements are not clearly structured.
- Ask sensible follow-up questions to clarify requirements.
- Document requirements clearly.
- Assign or communicate the requirements to the appropriate team.
- Follow up with the team and ensure the work is progressing.
- Keep the client informed where required.
- Bring any issues or delays back to the CEO's attention.
Essential Skills & Requirements
- Excellent spoken and written UK English is essential.
- The candidate must be comfortable speaking with UK clients on calls.
- Clear, professional and confident communication skills.
- 5-6 years of experience in a PA, Executive Assistant, Operations Coordinator, Client Success, Project Coordinator or similar role.
- Strong organisational and time-management skills.
- Excellent follow-up and task management abilities.
- Ability to manage multiple priorities across different companies.
- Strong attention to detail.
- Ability to understand instructions quickly and communicate them accurately.
- Comfortable working independently and taking ownership of tasks.
- Strong email and professional communication skills.
- Comfortable using Google Workspace / Microsoft Office and online collaboration tools.
- Ability to maintain confidentiality when dealing with sensitive business and client information.

Your day could involve:
- Reviewing the CEO's calendar and priorities.
- Scheduling meetings across multiple companies.
- Joining a client call and documenting requirements.
- Communicating those requirements to the relevant team.
- Following up with the team on progress.
- Checking pending tasks and deadlines.
- Speaking with UK clients and providing updates.
- Preparing a status summary for the CEO.
- Rescheduling meetings and managing changing priorities.
- Following up on outstanding client or internal actions.
- Escalating important issues to the CEO.
- Making sure nothing important falls through the cracks.
