Role Overview
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the CEO in managing day-to-day operations, strategic priorities, communication, and executive coordination. The ideal candidate will act as a trusted partner to the CEO, ensuring smooth execution of administrative, operational, and stakeholder management responsibilities.
This role requires excellent communication skills, discretion, problem-solving ability, and the ability to leverage AI tools and modern productivity platforms to improve efficiency, reporting, communication, and workflow management.
Key Responsibilities
Executive Support
- Manage the CEO’s calendar, meetings, appointments, and travel schedules.
- Coordinate internal and external meetings, including preparing agendas, presentations, and follow-up notes.
- Screen and prioritize emails, calls, and correspondence on behalf of the CEO.
- Ensure timely reminders and tracking of key action items and deadlines.
AI & Productivity Enablement
- Use AI tools such as ChatGPT, Gemini, Notion AI, or similar platforms for drafting emails, creating presentations, meeting summaries, research, and workflow automation.
- Leverage productivity and automation tools to improve operational efficiency and reporting.
- Maintain organized digital documentation and knowledge systems using modern collaboration tools.
- Assist the CEO in adopting AI-driven workflows and business productivity practices.
Stakeholder Coordination
- Act as a liaison between the CEO and internal departments, clients, investors, partners, and external stakeholders.
- Coordinate communication and follow-ups across teams to ensure execution of priorities.
- Maintain strong professional relationships with key stakeholders.
Operational & Administrative Support
- Prepare reports, presentations, MIS dashboards, and business documents.
- Assist in planning company events, leadership meetings, and offsites.
- Handle confidential information with high discretion and professionalism.
- Organize and maintain records, documents, and filing systems.
Strategic & Business Assistance
- Support the CEO in tracking strategic initiatives and business goals.
- Conduct research, competitor analysis, and information gathering for decision-making.
- Assist with project coordination and cross-functional execution.
Travel & Logistics
- Manage domestic and international travel arrangements including itineraries, accommodation, visas, and expense tracking.
- Coordinate logistics for meetings, conferences, and events.
Required Qualifications
- Bachelor’s degree in Business Administration, Management, or related field.
- 3–8 years of experience as an Executive Assistant, Founder’s Office Associate, or similar role.
- Strong proficiency in Microsoft Office, Google Workspace, and AI-powered productivity tools.
- Familiarity with tools like ChatGPT, Notion, Slack, Zoom, Trello, or similar platforms.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality and professionalism.
Preferred Skills
- Experience working directly with founders, CXOs, or senior leadership.
- Strong presentation and documentation skills.
- Ability to work in a fast-paced startup or corporate environment.
- Familiarity with workflow automation and project management tools.
- High adaptability to new technologies and AI-driven systems.
